Job Description
Pizzeria Pezzo is seeking an assistant general manager for our growing company. This position will primarily directly report to our existing general manager and will also work with the owners of the company. Location for this individual will primarily be at our White Bear Lake location, but may also be working from our Woodbury location from time to time. Responsibilities include: light company administrative duties (payroll, AP, benefits) and restaurant general managerial shift duties.
Administrative work will consist of entering weekly payroll, calculating tips, reviewing employee hours, and processing payroll. This individual will also collect invoices, scan all invoices into the system, and be sure all invoices/licenses/accounts payable are paid accurately and in a timely manner. Benefits duties consist of entering eligible employees into the benefits database and making sure deductions are accurately auto-generated.
As an assistant general manager, this individual will be responsible for overseeing, directing, evaluating, and coordinating the planning of necessary restaurant staff to achieve stated objectives. Objectives include ensuring the success and continuous improvement of restaurant financials, employee retention and relations, guest service and satisfaction, food quality and consistency, and restaurant cleanliness and sanitation. All objectives must be attained while ensuring Pezzo is in full compliance with all applicable federal, state, and local laws, codes, and regulations.
Activities & Responsibilities
PRIMARY
General Operations:
o Collaborate directly with the General Manager to ensure all restaurant responsibilities (both BOH & FOH) are completed on time, completely, accurately, and with efficiency
o Achieve company objectives in sales, service, quality, appearance of facility, and sanitation and cleanliness through ensuring that employees are properly trained & equipped
o Create a positive, productive working, team-oriented environment
o Ensure all restaurant policies, procedures, standards, specifications, guidelines, and training programs are followed and completed on a timely basis
o Promote, work, and act in a manner consistent with the mission & corporate culture of Pezzo
o Maintain proper Pezzo image, including cleanliness, proper uniforms for all staff, and restaurant appearance standards
o Fully understand and comply with all federal, state, county and municipal regulations that pertain to health, safety and labor requirements of the restaurant, employees and guests
o Audit checklists from outside cleaning company and prior-closing shift to ensure all tasks were completed to Pezzo standards
o Ensure that all guests feel welcome and are given responsive, friendly and courteous service at all times; Investigate and resolve complaints and guest issues regarding food quality, service, or accommodations
o Perform GM open-checklists in preparation for operation: service stations, food receiving, food preparation, food production, kitchen and restaurant equipment, and storage areas
o Ensure that all equipment is kept clean and kept in excellent working condition through personal inspection and by following the restaurant’s preventative maintenance programs
o Help to arrange for kitchen and restaurant repairs, restaurant contracts, and other outside services (outside cleaning services, towel/linen services, waste removal, maintenance companies, etc.)
o Perform regular table-visits to guest’s tables to ensure a positive experience, to attain guest feedback
o Aid in analyzing & resolving operational issues, such as theft and wastage, and establish procedures to alleviate issues
Food Safety & Planning:
o Ensure all food and finished products are prepared and served according to Pezzo’s consistency and quality standards and in accordance to operational standards, company policies, federal/state/local laws & ordinances
o Help to oversee, manage/maintain, and forecast inventories and proper receipt of (correct unit count & condition, and in accordance to Pezzo policies): food, equipment, disposables, small-wares, and liquor; purchase or requisition supplies and equipment needed to ensure quality and timely delivery of services
o Assist in Scheduling/Overseeing/participating in kitchen and dining area cleaning activities
Employee Related:
o Conduct pre-shift meetings to communicate with & inform staff of any announcements and/or considerations for service (this includes daily food/promotional specials, party/catering orders, marketing/advertising/promotional events, outside community events that directly impact Pezzo operations, etc.)
o Help to schedule labor as required by forecasted business activity while ensuring all positions are properly staffed when and as needed & labor cost objectives are met
o Observe and evaluate workers & work procedures for optimum quality standards and service; continually strive to develop staff in all areas of managerial & professional development by providing ongoing feedback & clearly establishing and communicating performance expectations on a timely basis
o Administer prompt, fair, and consistent corrective action and/or necessary write-up for any and all violations of company policies, rules, and procedures
o Ensure good safety practices of employees and guests throughout restaurant. Ensure proper emergency & security procedures are in place & all employees are appropriately trained
o Assign duties, responsibilities, and workstations to employees in accordance with work requirements
o Assistance in interviewing, selecting/hiring and terminating staff, providing employee orientation and training (Pezzo mission/culture, job tasks/duties/responsibilities, company and guest professionalism and courtesies, guest experience objectives), and conducting supervisory activities
o Coordinate with and assist fellow employees to meet guests’ needs and support the operation of the restaurant; this includes moving fluidly throughout the operations (servers, bussers, food-runners, bartenders, bar-back’s, hosts, etc.) to ensure employees are adequately supported, on a regular basis throughout the shift. Includes performing service tasks such as presenting bills and/or accepting payments, hosting, clearing/cleaning tables, serving food and drinks, bathroom checks, etc.
o Partake in & prepare for all weekly managerial staff meetings
Administrative Duties:
o Collaborate directly with all locations to receive financial reports and employee hourly compensation & tip compensation
o Review all company employee related information on a daily/weekly basis, review and correspond with other staff members to reconcile payroll/tip information, and ensure accuracy of all compensation data
o Enter all hourly and tip data into the ADP portal, ensure accuracy of all data entry, and process payroll on a weekly basis
o Aid in paperwork, on-boarding duties, and entering new employee information into the systems (ADP, Clover, Homebase, etc.)
o Seek & receive all invoice payables, enter payments & scan invoices into QuickBooks, track due dates of key payment dues (licenses, taxes, etc.) to ensure timely payments; process all checks to pay accounts payable
o Work with benefit-eligible employees to obtain information needed to provide to benefits-provider. Ensure all necessary information is given to benefits-provider. Review weekly benefits deductions to guarantee accuracy
o Responsible for ensuring all financial functions of Pezzo (accounts payable, payroll, invoicing, reporting, etc.) are completed accurately and timely
Financial:
o Perform various financial activities including: cash and other receipts handling, deposits, and reconciliation procedures
o Verify receipt of orders - correct quantities & pricing.
o Prepare all required paperwork, financial and otherwise, including forms, reports, schedules, etc. in a timely and organized manner
o Review financial information to understand current financial performance of operations, identify/implement opportunities to improve financial positioning of Pezzo, ensure expenditures stay within budgeted limitations, and provide input to develop future financial budgets and necessary expenditures
Skills:
o Prior food-service/restaurant management experience required – 2+ years of previous experience
o Prior administrative experience preferred, experience with QuickBooks is an added bonus
o Positive/”can-do” attitude, takes initiative, self-motivated, problem-solver, results oriented
o Leadership skills, team-oriented, and ability to develop/mentor staff
o Excellent communication skills, highly organized, AND customer service oriented
