Support dynamic Managing Director and 3 team members

  • Coordinate logistics for domestic/international travel; prepare detailed itineraries/agendas - coordinate car service. arrange flights, trains, hotels, and car rentals/service
  • Maintain contact database of clients, investors, attorneys
  • Organize meetings, primary gatekeeper; screen calls professionally
  • Manage and monitor calendars, schedule conference room, and coordinate conference calls
  • Process office expenses and off-site meeting expenses
  • Guarantee meeting materials are printed, bound, packaged, and arrive at the appropriate location on time
  • Find cost savings venues, book attendees' flights/hotels, negotiate room block and conference rates
  • Provide visitor requirements/requests – make reservations, coordinate car service, flights, and directions to subsequent meetings and engagements
  • Proactively suggest and implement office improvements that increase productivity and a better office experience
