Your New Role...

Warner Bros. Consumer Products Inc. is seeking an Executive Assistant for the Creative, Product Development and Brand Assurance department. This role is responsible for managing the day to day administrative activities for the SVP Global Product Development and Creative, VP NA Product Development and VP Global Creative, as well as project support for the Burbank creative team.

Your Role Accountabilities...
  • Manages calendars including but not limited to scheduling meetings, securing meeting rooms, setting up Zoom and Teams meetings, requesting drive-on passes for external attendees, ordering catering items/meals, greeting visitors, etc. as well as tech troubleshooting in conference rooms, setting up and activating calls.
  • Arranges and may participate in conferences and committee meetings and travels to conferences, summits and events as needed.
  • Assists SVP Global Product Development and Creative, VP NA Product Development and VP Global Creative with putting together projects and PowerPoint/Keynote presentations. Updates presentations in conjunction with executive's direction. Provides proof reading for select documents.
  • Makes international and domestic travel accommodations and arrangements for the supervisors in the most efficient manner available. Reviews and secures approval for all travel requests.
  • Manages the T&E budget and trip tracking all year for the full team
  • Reviews and reconciles all incoming travel and expense reports for the supervisors for accuracy and compliance with corporate policy. Prepares and submits T&E expense reports in a timely manner.
  • Handles confidential and sensitive matters on a daily basis.
  • Answers the SVP Global Product Development and Creative, VP NA Product Development and VP Global Creative's phone lines and handles routing telephone inquiries pertaining to the operation of the department, and when necessary, directs the call appropriately.
  • Acts as a liaison with division managers to provide current status of various projects. Provides updates to supervisor periodically on all division activities.
  • Makes photocopies of reports, documents and other materials for the supervisors. Opens, reviews, records and distributes or organizes mail. Maintains various files, records, indexes and logs. Creates and maintains schedules, reports and matrixes.
  • Helps to receive/ship, log and organize samples from international PD/Creative teams. Handles and fulfills products requests for Senior leadership.
  • Greets and interacts with all visitors which often includes internal and external executives, filmmakers, talent and agents.
  • Handles specific projects, assignments and other related duties as directed.
  • Prepares quarterly, monthly and weekly reports, as requested by the leads.
  • Assists with set up and tear down of product displays on-lot, onsite and offsite.
  • Onboards vendors/temps and assist in creating/modifying/approving POs via SAP for vendors/temps
  • Creates shipping labels and pick up/drop off packages to central delivery/mailroom
  • Orders and picks up samples/office supplies for department online/offsite
  • Assists in procuring hardware/software for the department, and tracks company computer equipment for the department
  • Assists in getting email approvals for PCards/corporate cards
  • Upload/download/share files via Box/OneDrive
  • Operates as the team expert for Concur and assists the broader creative team with answer questions regarding travel & expense/PCard expense reports
  • Manages team distribution lists, onboarding documents, and global creative team communications
  • Coverage for other executive desks.
Qualifications & Experience...
  • Minimum 3 years administrative experience.
  • Previous experience in a licensing company or an advertising agency strongly preferred.
  • High School Diploma required.
  • BA/BS degree preferred.
  • Strong working knowledge of Microsoft Office applications, specifically Outlook, Excel, and PowerPoint as well as BOX and
  • Experience with T&E systems, preferably Concur
  • Ability to create/modify/approve purchase orders in SAP
  • Ability to work in a fast-paced team environment with changing priorities; possess flexibility and adaptability skills.
  • Exceptional time management and prioritization skills with ability to multi-task with a high degree of attention to detail and accuracy
  • Well-organized with effective and proven planning and follow-through skills.
  • Ability to work well under time pressure and time constraints.
  • Self-starter, optimistic and dependable

  • Must be able to keep confidentiality.

In compliance with local law, we are disclosing the compensation, or a range thereof, for roles in locations where legally required. Actual salaries will vary based on several factors, including but not limited to external market data, internal equity, location, skill set, experience, and/or performance. Base pay is just one component of Warner Bros. Discovery's total compensation package for employees. Pay Range: $54,600.00 - $101,400.00 salary per year. Other rewards may include annual bonuses, short- and long-term incentives, and program-specific awards. In addition, Warner Bros. Discovery provides a variety of benefits to employees, including health insurance coverage, an employee wellness program, life and disability insurance, a retirement savings plan, paid holidays and sick time and vacation.
