The Sr. Director, Newbuild Administration reports directly to the EVP, Maritime and collaborates with the executive team to ensure optimal functioning of the Newbuild organization. This role is a trusted counsel, strategic partner and acts as a key advisor to our Executive Vice President for the Newbuild department. They will play a pivotal role in driving global departmental success. From directing strategic initiatives, driving meeting quality with EVP and his/her direct reports, to handling tactical departmental needs, your organizational prowess will be crucial. ESSENTIAL DUTIES AND RESPONSIBILITIES: Initiates, directs, and implements a broad range of matters of organizational significance for all operations and activities of the EVP, Maritime office, including special projects and key strategic initiatives. Brings together organizational and analytical skills in a dynamic role that thrives on behind-the-scenes effectiveness. Ensures senior team alignment with strategy and culture and promotes collaboration and teamwork among them. Identifies and provides recommendations on improvements across the organization for optimal performance and collaboration across all programs. Provides consultation to the EVP, Maritime on resources, level of effort and timelines to translate vision into reality. Leads a staff of over five executive administrators and coordinators, to collectively manage EVP and his/her direct reports towards goal of prioritizing meetings and coordinating travel for optimal effectiveness. Participates in the strategic planning process and strategic business initiatives from ideation to implementation. Works with leaders to set, track, and monitor progress on KPIs, identify potential risks and support development of mitigation plans. Leads meetings and workshops with precision and detailed coordination. Acts as an independent voice to Executive Vice President and assists in facilitating effective decision making, coordinates strategic initiatives and manages leadership meetings, all-hands, actions, goals and in accordance with the strategic plan. Participates in evaluation and assessment of potential projects and products. Assists in identifying collaboration or integration opportunities with existing programs/initiatives. Works directly with senior executives and stakeholders on behalf of the EVP to formulate and execute on an overall strategy that aligns to the organization’s objectives. Provides advanced office support to the EVP, managing daily calendars and orchestrating meetings with other leaders. Monitors and evaluates the efficiency and effectiveness of overall operations and infrastructure, to include service delivery methods and procedures; administrative and support systems; and internal reporting relationships. Identifies opportunities for improvement and directs the implementation of changes. Skillfully resolves scheduling conflicts to alleviate pressure on executive leadership. Manages daily operations, coordinating projects and overseeing business administration. Assesses ongoing risks, deadlines, and critical decisions requiring focused attention. Cultivates genuine partnerships across all brands, levels, functions, and sub-cultures. Assists in EVP internal communications, including memos, department updates, and presentations. QUALIFICATIONS: MBA preferred. Minimum of 10 years work experience required. 10 – 15 years of strategic experience performing advanced and high level of administrative support to senior executive level positions in medium to large corporations. Excellent communication and written skills, as the successful candidate will be required to draft articles that are publishable. Experience in managing a complex work environment and driving cross-functional alignment across all levels of an organization. Willingness to work hard and take direction—but also creatively solve problems for which the answers aren’t always obvious. Excellent organizational and presentation skills. KNOWLEDGE AND SKILLS: Exceptional interpersonal skills to interact with internal and external executives, peers, vendors, media, employees, etc. Must be able to maintain strict confidentiality and discretion in dealing with issues of business & personal nature. Ability to work effectively under pressure & manage multiple tasks and deadlines. Knowledge of budget administration, cost containment and basic financial principles. Advanced level of proficiency in MS Word, Excel, PowerPoint, and Lotus Notes. Exceptional expert level grammar, organizational and communication skills. Advanced skills in providing administrative and secretarial support to executives. Ability to work autonomously to complete tasks and responsibilities. Project management experience in planning, overseeing, implementing strategic initiatives, project coordination, budget management, and data analysis. Exceptional administrative ability. Experience in organizing and directing multiple teams and departments. Versatile abilities and extreme dedication to efficient productivity. Understands the complexities of our organization. Navigates complex organizational systems with organizational and political savviness; effectively applies levers for influence and change.
