POSITION SUMMARY

As an integral part of a team, the Director of Purchasing is responsible for continuously looking for ways to improve each guest’s experience by providing exceptional guest service, obtaining bids, and choosing suppliers that provide excellent services and products at the best price. The Director will negotiate with vendors for the purchase of all materials, supplies, equipment, and services used by the company, assisting with daily purchasing and storeroom operations.

This position will play an active role in assessing, developing, implementing, and managing internal controls, ensuring processes, procedures, policies, and documentation are properly in place and compliant with JSOX and applicable laws and regulations.

ESSENTIAL FUNCTIONS

Negotiate with vendors for goods and services, securing the best possible price, quality, and service guarantee. Maintain, evaluate, and expand primary sources of supply while obtaining additional sources as needed to promote competition and assure supply. Establish purchasing, receiving, distribution, and inventory policies and ensure compliance. Examine bids and make awards. Establish accounts/credit and terms. Negotiate blanket purchase orders when appropriate and monitor costs during the time period. Check requisitions for appropriate approval and account numbers. Work with Purchasing team members to ensure daily operations are fulfilled, including reviewing and approving Purchase Requisitions and issuing Purchase Orders to Vendors. Collaborate closely with the receiving department and Department Heads to ensure proper supplies arrive and CAPEX products are properly recorded. Trace delinquent arrivals from purchase orders. Follow environmental and safety regulations and comply with U.S. laws. Adhere to corporate guidelines on business ethics and maintain high standards. Maintain appropriate par stock on all inventory goods. Work with each department to determine and implement purchasing strategies and objectives. Provide leadership and management of purchasing projects from conception through completion. Assess, evaluate, select, and maintain the company’s purchasing software, applications, and systems for functionality, accuracy, performance, and optimization. Develop and execute departmental policies and procedures to foster a cooperative and safe working environment, maintaining efficient productivity. Train and audit the work of team members for accuracy and timeliness. Determine, assess, develop, implement, and maintain proper internal controls and processes to ensure compliance with Standard Operating Procedures, Policies, Government Law & Regulation, and J-SOX. Perform all other duties as may be required or assigned.

EDUCATION/EXPERIENCE Bachelor’s degree in a business-related area. High school diploma or equivalent vocational training certificate. Minimum seven years of purchasing experience.

KNOWLEDGE, SKILLS, & ABILITIES Ability to anticipate guest needs; respond promptly and acknowledge all guests. Ensure familiarity with all hotel services/features and local attractions to respond to guest inquiries accurately. High communication proficiency. Ability to understand or learn technical aspects of various operations. Ability to collaborate and maintain positive working relationships. Excellent time management skills. Strong leadership ability. Business acumen. Excellent decision-making ability. Maintain positive guest relations at all times. Highly organized, detail-oriented, and able to multi-task. Good knowledge of Office suite applications – Excel, Word, etc. Ability to compute basic mathematical calculations. Experience with purchasing software; knowledge of Adaco is preferred.

PHYSICAL DEMANDS Ability to lift/transport up to 50 lbs. Ability to stand/walk for up to 8 hours throughout the work shift. Maintain a stationary position for up to 8 hours throughout the work shift.

WORK ENVIRONMENT Indoor, air-conditioned environment. Outdoors, exposure to variable temperatures and weather conditions. Variable noise levels. Constant interruptions. Exposure to fumes, dust, chemicals, and odor hazards.
