Job Title: Vendor Master Data Specialist

Job Summary:
We are seeking a detail-oriented and experienced Vendor Master Data Specialist to join our team. This role involves managing and maintaining vendor master data within our ERP system, ensuring accuracy, compliance, and consistency across regions. The ideal candidate will have experience in vendor onboarding, familiarity with AP processes, and a strong understanding of regulatory and reporting requirements, including 1099 classifications.

Key Responsibilities:

• Vendor Onboarding:

  • Set up new vendors in the ERP system, ensuring all required data is accurately captured, including:
    • Vendor name (derived from W9)
    • Remit-to and mailing addresses
    • Updated W9 information (company name, DBA, TIN/EIN, 1099 status)
    • Banking details (e.g., bank name, routing, account numbers, SWIFT code, or IBAN for international vendors).
  • Gather contact information, including vendor contact name, phone number, and email address for payment remittance.
  • Identify and assign spend categories and payment terms where applicable.

• Data Integrity and Maintenance:

  • Audit existing vendor master data to identify and correct inaccuracies, including duplicate records, missing 1099 designations, and invalid TIN/EIN formats.
  • Consolidate duplicate vendor profiles and ensure consistent naming conventions.
  • Collaborate with vendors to obtain missing or updated information as needed.

• Compliance and Reporting:

  • Ensure vendors are properly marked for 1099 reporting and maintain compliance with all applicable regulations.
  • Verify TIN/EIN formats and ensure alignment with regulatory standards.
  • Maintain knowledge of international requirements, such as SWIFT codes, IBANs, and foreign address formats, for EMEA and APAC vendors.

• Collaboration:

  • Work closely with internal teams and temporary staff to ensure seamless vendor onboarding and data maintenance.
  • Assist in training and onboarding team members to maintain consistent data practices across regions.

Qualifications:

• Experience in accounts payable, vendor master data, or related fields.
• Strong understanding of ERP systems and vendor setup processes.
• Familiarity with regulatory requirements, including 1099 classifications, W9 forms, and international banking details.
• Exceptional attention to detail and organizational skills.
• Proficiency in identifying data discrepancies and implementing corrective actions.
• Excellent communication skills to collaborate with vendors and internal stakeholders.

Preferred Qualifications:

• Experience with EMEA and APAC vendor management, including SWIFT codes, IBANs, and international address formats.
• Previous experience as a Vendor Master Data Specialist or similar role.
