The Estate & Inheritor Services Specialist is responsible for managing the seamless transition of assets for individual clients, focusing on inheritance and legacy transfers. As a Subject Matter Expert (SME), you will serve as a key resource for Wealth Management Clients, Financial Advisors, Client Service Associates, and Branch Management. Your primary role will involve facilitating the inheritance process, ensuring timely and accurate asset transfers, and providing exceptional service throughout the process.

This position requires close collaboration with internal departments, using various systems and technology resources to support clients in a virtual branch environment. The ideal candidate will possess excellent relationship management skills, empathy, and the ability to navigate complex service requests with high attention to detail.

Key Responsibilities

1. Client Support & Relationship Management

   • Provide dedicated one-on-one support to clients throughout the inheritance process, ensuring a smooth transition of assets.
   • Proactively communicate with clients and beneficiaries via phone and email, delivering high-level service, transparency, and empathy.
   • Set appropriate expectations with clients and beneficiaries in line with Service Level Agreements (SLAs), ensuring consistent follow-up and completion of requests.

2. Process Management & Follow-Up

   • Process client service requests and follow up to ensure timely resolution.
   • Monitor and document case load on a daily basis, utilizing various technology resources to ensure accuracy and efficiency.
   • Research and resolve client and service inquiries accurately and promptly, escalating issues when necessary.

3. Customer Service Excellence

   • Provide world-class customer service to both internal and external clients, ensuring satisfaction with every interaction.
   • Leverage systems to enter and document all case interactions, ensuring completeness and accuracy.

4. Risk Mitigation & Compliance

   • Apply Firm verification policies to avoid identity theft and fraudulent activity.
   • Stay current on SEC/FINRA regulations, compliance requirements, and internal guidelines to ensure risk mitigation in all transactions.
   • Ensure all actions are compliant with standards and best practices.

5. Ad-Hoc Duties

   • Assist with additional tasks as assigned, ensuring completion in line with team objectives.

Qualifications

Education & Experience

• Education: College degree preferred.
• Experience: 3-4 years of financial services industry experience with a focus on client service, estate management, trusts, retirement plans, and asset distribution processes.

Licensing Requirements

• Required:
  • Series 7 and 66 licenses (or Series 63 and 65 licenses)
  • Candidates without the required licenses must obtain them within a specified period.
