Singerman Real Estate is looking to grow our firm with the addition of an experienced Office Manager. The ideal candidate will have prior experience in office management, executive team assistance and event planning. Candidates must possess excellent management, customer service, administrative and organizational skills that facilitate the smooth running of our office operations. Candidates must be a self-starter, possess excellent verbal and written communication skills, and the ability to react quickly to changes as priorities are shifted. This position will report directly to our CFO/COO.


Primary job functions include:

  • Serve as the executive assistant to the managing principal and other executives
  • Manage front of office – greeting and successfully working with employees, visitors, investors, vendors, consultants and building staff
  • Plan and execute internal firm meetings and investor events, including quarterly updates and annual investor meeting
  • Serve as IT liaison for the office – working with outsourced IT consultant to resolve issues, ordering and setting up new hire workstations
  • Answer and screen incoming phone calls, providing assistance when possible and routing other calls to appropriate personnel
  • Manage and book travel arrangements for managing principal and other executives
  • Create and maintain databases and spreadsheets in CRM and/or Microsoft Excel
  • Assist the CFO/COO with a variety of projects including monthly expense reports and managing office costs
  • Manage and update documents on investor portal
  • Order, stock, and organize office supplies
  • Assist in the preparation of packages and office mailing
  • Perform other special projects as directed by the executives and vice presidents


Requirements:

  1. 5+ years of administrative or office management experience
  2. A Bachelor’s degree
  3. Experience planning and executing all aspects of events and meetings
  4. Exceptional attention to detail and ability to focus on a variety of tasks simultaneously
  5. Outstanding verbal and written communication skills
  6. Ability to learn quickly, problem solve and anticipate office needs and needs of others
  7. Strong organizational and communication skills
  8. Experience working with budgets
  9. Desire to work in an entrepreneurial environment
  10. Experience with Microsoft Excel, Microsoft Word, Microsoft PowerPoint
  11. Not required, but highly valued: CRM experience



Compensation:

This is a full-time position reporting to the CFO/COO.
