Job Summary: We are seeking a proactive and friendly Administrative Assistant to join our team. In this vital role, you will be the backbone of our office, providing essential support to our employees and ensuring smooth operations. Your role will involve managing communications, scheduling, data entry, and supporting various administrative functions. If you have experience with HVAC permits, thats a plus, but not a requirement. We're looking for someone whos ready to jump in and make a difference!

Primary Responsibilities:


  • Research and follow up on missing information and paperwork from CSRs and Technicians, ensuring accuracy and efficiency.
  • Support the Finance Manager with accounting tasks, including accounts payable, payroll, month-end activities, and more.
  • Manage accounts payable to secure discounts and ensure accurate vendor billing.
  • Compile and generate detailed reports at the request of the Finance Manager, including data on call volume, leads, sales performance, and agreement renewals.
  • Assist in collecting and assembling daily report information from Managers.
  • Provide exceptional customer service by answering telephones and directing inquiries as needed.
  • Perform general office duties with a high level of organization and attention to detail.
  • Uphold the our Code of Ethics, Team Rules, and Team Philosophy, contributing to our positive and collaborative culture.
  • Ensure A/R and A/P reconciliation utilities are run daily to maintain G/L balance and facilitate a smooth month-end close.
  • Accurately complete job costing for each A/R invoice, including tracking labor, parts, subcontractors, and commissions.
Qualifications:


  • Previous experience as an Administrative Assistant or in a similar administrative role.
  • Familiarity with standard office equipment
  • Excellent computer skills
  • Exceptional organizational and time management skills, with the ability to manage multiple tasks and prioritize effectively.
  • Strong written and verbal communication skills, with a professional and friendly demeanor.
