Primary Responsibilities:
- Research and follow up on missing information and paperwork from CSRs and Technicians, ensuring accuracy and efficiency.
- Support the Finance Manager with accounting tasks, including accounts payable, payroll, month-end activities, and more.
- Manage accounts payable to secure discounts and ensure accurate vendor billing.
- Compile and generate detailed reports at the request of the Finance Manager, including data on call volume, leads, sales performance, and agreement renewals.
- Assist in collecting and assembling daily report information from Managers.
- Provide exceptional customer service by answering telephones and directing inquiries as needed.
- Perform general office duties with a high level of organization and attention to detail.
- Uphold the our Code of Ethics, Team Rules, and Team Philosophy, contributing to our positive and collaborative culture.
- Ensure A/R and A/P reconciliation utilities are run daily to maintain G/L balance and facilitate a smooth month-end close.
- Accurately complete job costing for each A/R invoice, including tracking labor, parts, subcontractors, and commissions.
- Previous experience as an Administrative Assistant or in a similar administrative role.
- Familiarity with standard office equipment
- Excellent computer skills
- Exceptional organizational and time management skills, with the ability to manage multiple tasks and prioritize effectively.
- Strong written and verbal communication skills, with a professional and friendly demeanor.
