We are Secure Community Network (SCN), a nonprofit 501(c)(3) serving as the official safety and security organization of the Jewish community in North America. Here at SCN, we deeply value the team of people that work diligently to commit their lives to action for a better tomorrow. We are excited to add an Administrative Coordinator to our team. The Administrative Coordinator will provide administrative assistance to the Assistant Director and other executives, as directed, supporting core organizational functions, to include administrative needs for Secure Community Network's Chicago headquarters.

WHAT YOU WILL DO:

  • Work effectively with Executive Team members and others cross-organizationally to coordinate and meet established needs.
  • Coordinate and schedule travel, meetings, and appointments, ensuring appropriate logistical planning, preparation, and visibility among internal and external stakeholders.
  • Support administrative needs of the office, including managing incoming and outgoing mail, ordering and inventory of office supplies, and upkeep and coordination of shared spaces.
  • Plan, organize, maintain, and update various files, records, and databases.
  • Prepare agendas, schedules, and materials for departmental and external meetings.
  • Prepare, revise, and print letters, reports, and documents, working from notes, copies, drafts, and design formats, and reviewing for accuracy.
  • Assist with financial processes and documentation such as compiling expense reports, depositing checks, and record-keeping.
  • Support arrangements for catered and off-site gatherings, in conjunction with the Meeting and Events Manager.
  • Manage internal and external communications on behalf of the executive, as directed.
  • Work independently on special projects.
  • Perform other related duties as assigned.

QUALIFICATIONS:

  • Bachelor's Degree in a related field is preferred but not required.
  • 3-5 years of relevant experience supporting multiple departments and executives.
  • Excellent written and verbal communication skills.
  • Organized, with strong attention to detail.
  • Ability to work on multiple assignments as needed, independently or collaboratively as a member of a team.
  • Ability to make independent and accurate decisions with tact and diplomacy.
  • Ability to work in a dynamic, challenging, and fast-paced organization.
  • Ability to maintain the integrity of confidential efforts and documents.
  • Proficient in Microsoft Office Suite.
  • Strong working knowledge of document editing, file sharing, and video conferencing software required.
  • Knowledge of CRM database software preferred.
