Job Description
Administrative Specialist needed to support the General Manager of Outlet Center, and overall office management functions and activities Full-Time. Duties include, but are not limited to:
- Assist all visitors to the Management office.
- Answer and redirect incoming calls to the appropriate team member
- Assist tenants with copier and fax machine services and prepare end of month billing.
- Stock kitchen/break room and maintain appropriate inventory of supplies (i.e. coffee, cups and napkins).
- Coordinate distribution process of memos to tenants.
- Collect/distribute/prepare incoming/outgoing mail and courier packages
- Track and maintain Certificate of Insurance for on-site contractors.
- Coordinate Accounting activity between the Center and Corporate A/P dept.
- Perform other related duties as assigned and as needed.
- Provide customer service when interacting with tenants, vendors and staff
- Running reports
- Assist with the payables for all center related expenses
- Assist with other duties as assigned
Qualifications/Requirements:
- High school diploma or equivalent
- 1-2 years of administration experience
- Bi-lingual in Spanish preferred
- Accounting experience preferred
- Proficient in Microsoft Office/Word/Excel/Outlook
- Must be able to work weekends, holidays and retail business hours.
- Human Resource experience highly preferred
EDUCATION and EXPERIENCE
- High school diploma or general equivalency diploma (G.E.D.)
- 1-2 years of Administrative experience or in a related area preferred.
- 1-2 years of Accounting or Accounts Payable experience preferred.
COMMUNICATION SKILLS
- Ability to comprehend, analyze, and interpret business documents and transactions.
- Ability to effectively respond to issues both verbally and in writing.
- Requires a high level of commitment to customer service.
OTHER SKILLS and/or ABILITIES
- Demonstrate ability to work well under pressure with a proactive approach to unusual occurrences.
- Must be able to work independently and take initiative.
- Requires good organizational and leadership skills, attention to detail and openness to new ideas and procedures.
- Extensive experience with MS Office applications is required.
