Location: Albany, NY Category: Professional Posted On: Fri Oct 4 2024 Job Description: The Administrative Manager reports directly to the Chair of the Department and provides support to assist in ensuring the faculty's greatest effectiveness in their primary roles as teachers and researchers. The Administrative Manager for the department will provide coordination pertaining to fiscal, personnel and facilities management. The incumbent will routinely interact with the Budget, Accounting, Purchasing and Human Resources offices, as well as CNSE faculty and staff. Primary Responsibilities: Monitor and analyze all fiscal account activity, personnel management, facility management, and related academic affairs support including enrollment management, course scheduling, recruiting, advising, and alumni affairs. Monitor department budget and expenditure requests and review the reconciliation of expenses for accuracy. Hire department student personnel; provide oversight for CNSE's human resource/personnel matters; assist in onboarding for staff, faculty and student personnel. Assist in managing CNSE spaces and serve as point of contact for Facilities Management. Serve as Department liaison, troubleshoot issues with all campus administrative offices including the College Office, Computing Center, Graduate Education, Registrar, Institutional Research, International Programs, Payroll, Human Resources Management, Facilities Management, Purchasing, Accounting, Summer Sessions, and Undergraduate Education. Supervise administrative assistants, work-study students and student assistants assigned to the department office. Provide leadership, oversight and direction to direct reports to assure goals, programs, activities, and personnel practices are consistent with and contribute to the University's goals and strategies. Lead employees for maximum performance and dedication. Complete performance management feedback and goals timely and per requirements. Other reasonable duties as assigned Functional and Supervisor Relationships: Reports to the Department Chair Supervises the following positions: administrative assistants, work-study students and student assistants Job Requirements: Minimum Qualifications: Bachelor's degree from a college or University accredited by the US Department of Education or internationally recognized accrediting organization. Minimum two years of professional experience in an office setting Previous experience with Microsoft Office and proven ability to learn and use new technology Evidence of attention to detail and strong organizational skills Evidence of strong interpersonal and communication skills Ability to handle multiple tasks simultaneously, prioritize, and complete assignments accurately and in a timely fashion Demonstrated ability to work independently and as part of a team Applicants must demonstrate an ability to develop inclusive and equitable relationships within our diverse campus community Applicants must demonstrate an ability to support diversity, equity, access, inclusion, and belonging relative to their role Preferred Qualifications: Experience working with faculty/staff in a higher education setting Experience with budgeting, accounting, purchasing and HR policies and guidelines Familiarity with University systems, such as PeopleSoft, Business Intelligence, Slate, EAB, etc. Additional Information: Professional Rank and Salary Grade: Senior Staff Assistant, SL-3, $57,000 Special Note: Visa sponsorship is not available for this position.
