MBS is hiring an Administrative Coordinator in Hamilton, OH. This position is a full-time, Direct hire opportunity.
FULL JOB DESCRIPTION
PRINCIPAL DUTIES & RESPONSIBILITIES
  • Enters vehicle and equipment service and inspection data into the fleet management system software.
  • Reviews and maintains the fleet dash camera footage and administrative reports related to the software.
  • Maintains and files job and customer records per company procedures.
  • Retrieves information as requested from records, emails, and other related documents; prepares written summaries of data when needed.
  • Collect prior day jobs worksheets and upload them.
  • Monitors and analyzes inventory via an enterprise resource planning system or similar control system.
  • Assist Administrative Assistants with order status inquiries and special customer needs. · Maintains records, documentation, and files, particularly more complex or sensitive files such as personnel files or DOT records.
  • Maintains a database of shipment data to ensure that customer orders are updated and that appropriate billing documents are provided to accounting or other associated departments as required.
  • Maintains files of warranties, records, licenses, inspections, service agreements and contracts for various pieces of equipment in fleet management system.
  • Could provide administrative support to others in the office.
  • Performs other tasks and duties upon business needs.
REQUIREMENTS
  • Excellent verbal and written communication skills.
  • Extensive knowledge of DOT regulations and procedures.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and mindfulness.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong Analytical and critical thinking skills.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Energetic and professional attitude.
  • The ability to work well in a high-paced and at times stressful environment.
  • Ability to work independently or with a team.
