Job Summary:
Working under general supervision, the Logistics Warehouse and Mail Services Supervisor plans, directs, and administers the Warehouse and Mail Services teams. This includes maintaining and overseeing inventory of supplies, receiving, storing, delivery of items, and coordinating the logistics processes throughout all Getty sites. Ensure all work orders are executed correctly and completed in a timely manner based on specified requirements. Also responsible for all Warehouse and Mail Services assets, auto fleet, and equipment for the J. Paul Getty Trust.
Major Job Responsibilities:
- Supervise Warehouse and Mail Services staff and their daily activities.
- Track and coordinate the receipt, storage, and timely delivery of goods and materials at the Center, Villa, and Annex sites.
- Check work orders, invoices, items received, inventory, and deliveries for accuracy.
- Communicate and coordinate with other departments to ensure work orders are executed correctly and completed in a timely manner.
- Assign, complete, and close work orders using Maximo and Data Splice software.
- Conduct daily meetings with Warehouse and Mail Services technicians to set daily allocation of workload.
- Work closely with vendors to ensure proper maintenance schedules are kept for all auto fleet and equipment.
- Maintain warehouse in a clean, safe, and orderly condition.
- Assist Logistics Manager in establishing warehouse standards and procedures.
- Advise on budget-related needs; assist in the bid process for various supplies as required.
- Train Warehouse and Mail Services technicians on all work-related processes and procedures.
- Must be flexible with work hours (nights, weekends, and overnights) and locations, will oversee activities at Center, Villa, and Annex Sites.
Qualifications:
- High School Diploma
- Minimum 1-2 years of lead or supervisory experience, preferably in a logistics or warehouse environment
- Requires a valid California Driver License with fewer than 3 DMV points
- Ability to obtain forklift certification
- Ability to obtain hazardous materials handling certification within the first year
Knowledge, Skills and Abilities:
- Applies knowledge of policies, practices, trends and information to assignments of moderate complexity
- Ability to organize, manage work, and monitor the performance of others
- Ability to orient and train staff
- Ability to communicate effectively in oral and written form
- Ability to work nights and weekends as needed
- Ability to lift, carry, move, set up and tear down furniture, fixtures & equipment (FF&E) up to 50 pound
