For more information, visit williamblair.com.The Senior Manager Facilities will manage the WREM facilities team. Establish guidelines and expectations for maintaining William Blair’s headquarter facilities of over 350,000 square feet in a proactive, professional manner, ensuring business continuity with minimal disruption. Oversee team performance and manage facilities and maintenance budgets. Ensure facilities are monitored regularly and proactive maintenance occurs in alignment with established policies. Approve outside maintenance vendors. Monitor large, high-visibility projects. Manage the facilities maintenance help desk to ensure issues are resolved promptly and according to expectations. Manage the FFE records including drawings and databases to ensure successful tracking of changes.Responsibilities include but may not be limited to:Manage the facilities team including outsourced consultants/vendors, as well as landlords and property managers. Serve as 24/7 escalation point for appropriate office location(s).Ensure policies and procedures pertaining to facility maintenance are developed and followed and business continuity ensues, with minimal disruption.Maintain regular contact with William Blair leadership to ensure the facilities needs of the organization are met and to gather feedback on the facilities team. Serve as a resource for leadership on facilities issues.Oversee construction, up-keep and decommissioning of William Blair’s facilities as directed.Create and monitor annual maintenance budget and approve invoices for payment.Ensure regular scheduled inspections of assigned properties are conducted to identify areas requiring service, and ensure that the feedback loop with the business units is complete. Review documentation pertaining to service needs and provide approval for third party vendor maintenance projects.Oversee the process of property and maintenance vendor sourcing and management to ensure William Blair’s needs are met in a timely manner. Meet with established vendor finalists and make recommendations for final vendor selection.Monitor progress of large, high-impact property and maintenance projects conducted by outside vendors. Serve as an escalation point when issues arise.Manage the facility’s maintenance help desk to ensure requests are addressed promptly, appropriately, and with the highest level of customer service. Troubleshoot and resolve complex, high-visibility facility issues. Provide updates to senior management, and other CSUs as appropriate on critical issues. Ensure vendor requests are completed in a satisfactory manner.Serve as an escalation point and resource for facility maintenance problems or issues.Manage CAFM systems and FFE records tracking space and occupancy. Monitor inventory assets and forecast gaps.Collaborate with WREM security team on Fire/Life Safety programsDevelop strategies to determine space-planning requirements for business units as it relates to contraction and expansion. Facilitate feasibility studies and programming exercises to determine workspace needs.Lead and mentor facilities staff, coordinate workloads, and establish guidelines and expectations.Ensure team members take ownership of responsibilities.
