SIFMA is seeking a highly organized, proactive, and detail-oriented individual to join our team as an Executive Assistant. In this position, you will provide comprehensive administrative support to the President/Chief Executive Officer, Executive Director, GFMA, and Managing Director, North America, Global FX Division. This position is based out of our Washington, DC office.

Responsibilities

  • Manage calendars, schedule appointments, and coordinate meetings, ensuring efficient use of time and resources.
  • Prepare meeting agendas, presentations, and other materials for internal and external meetings.
  • Take meeting minutes for GFMA board meetings.
  • Handle correspondence, including drafting emails, letters, and other documents.
  • Coordinate domestic and international travel arrangements and accommodations.
  • Manage expense reporting and reimbursement process, ensuring accuracy, compliance, and timely submission.
  • Regularly update and maintain contacts and relationships within the CRM system to ensure accuracy and facilitate effective communication and relationship management, including updating Board information
  • Update and maintain historical Board information.
  • Assist with onboarding and offboarding Board members. Build and maintain strong relationships with key stakeholders, including board members, executives, members, and employees.
  • Assist with special projects and initiatives as assigned.
  • Collaborate closely and work in tandem with the Managing Director, Membership & Board Liaison ensuring seamless communication and coordination.
  • Assist Managing Director, Membership & Board Liaison with all aspects of board meetings, including scheduling, agenda development, meeting logistics, and preparation of meeting materials.
  • Provide front desk coverage on an as needed basis, including greeting visitors and managing incoming and outgoing mail, while also handling incoming phone calls and routing them to the appropriate employee.
  • Any additional duties as assigned.


Qualifications

  • Bachelor's degree, minimum 5 years of administrative support experience.
  • Proven experience as an Executive Assistant or similar role supporting C-Level executives.
  • Proven experience managing multiple time zones, international travel, and meeting planning.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong interpersonal skills and the ability to communicate effectively with individuals at all levels.
  • Extreme attention to detail.
  • Proficiency in Microsoft Office Suite.
  • Proficiency in Concur (T&E) and Microsoft Dynamics/Protech (CRM) a plus.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently with minimal supervision and as part of a collaborative team environment.

Salary Range: $90,000 - $100,000
