Office Manager

We are seeking an experienced Office Manager to oversee daily operations. This role ensures seamless office functions, coordinates with field technicians, and upholds exceptional customer service standards.

Location: Ventura, CA
Schedule: Mon-Fri 8:00 AM - 5:00 PM
with occasional weekend shifts
This is a full-time Temp-to-Hire position
Salary:
$25 - $27 (DOE)

Responsibilities:
  • Customer Service:
Handle customer inquiries, service requests, and appointment scheduling.
Manage customer accounts, billing, and issue resolution.
  • Scheduling & Dispatching:
???????Schedule and dispatch technicians efficiently.

Monitor technician availability and ensure smooth workflows.
  • Administrative Tasks:
Maintain office supplies and accurate records.
Process invoices, payments, and prepare sales/revenue reports.
  • Financial Management:
Oversee accounts receivable/payable and track expenses.
Generate financial statements and ensure budget compliance.
  • Staff Support:
Assist with onboarding new employees and maintaining records.
Provide administrative support to the team.
  • Other Responsibilities:
Coordinate marketing activities and promotions.
Ensure regulatory compliance and maintain office procedures.

Requirements:
  • Previous experience in an HVAC, plumbing, roofing or electrical company is required
  • Previous experience with customer service or dispatching is a big plus
  • Excellent communication skills (written and verbal)
  • Good multi-tasker
  • Experience using a computer to plan, data entry, email
  • Must be able to think on your feet and make decisions
  • Must be able to work under pressure
  • Creative problem solver
