EVENT MANAGEMENT:Serve as the primary point of contact for all high-impact, school leadership-level special events for the McCombs School of Business. Represent the McCombs School at special events. Direct all aspects of (visioning and execution below), and attend, special events to ensure smooth implementation of event logistics and resolution of any issues that arise.Visioning: Lead the vision, planning, preparation, and execution of a variety of donor events including, but not limited to:Small/regional receptions with alumni and McCombs School leaders, on-campus events such as hard-hat tours, conferences, lectures, student organization events, and key donor meetings.Manage existing events such as scholarship appreciation event, McCombs Hall of Fame, naming ceremonies, Deans Advisory Council, etc.Execution: Execute and manage event lifecycle including:Logistics: such as facility identification and reservation, menu selection and catering coordination, guest list development participation, invitation project management, coordination and delivery, audio/visual and performance needs, thoughtful management of VIP relationships, and appropriate post-event follow upBudget: Monitor special events budget and ensure expenses are made within the limits of allocated funding. Ensure purchases and contracts are managed in accordance with University policy and law. Track and maintain event expenses and budgets. Develop metrics to measure event success and provide recommendations for improving future events. Maintain detailed event recaps and support documents.Vendor: Research and identify appropriate vendors. Serve as point of contact for vendors and maintain positive vendor relationships. Coordinate with internal business processors on vendor contracts and execution of payment to vendors.Staffing: Ensure events are staffed, as needed. Determine on-site staffing needs and communicate schedules/responsibilities for events and ensure content/messaging and technical or other services are in place for execution.UNIVERSITY COORDINATION:Work effectively with representatives from the Office of the President, University Development Office, McCombs School, and other organizations across and outside of UT to coordinate events and link the campaign with broader UT strategic fundraising goals. Create event production timelines and collaborate with appropriate partners to ensure that timelines and priorities are met.TEAM MANAGEMENT:Supervise an efficient team to manage high-level boards and councils and key city/metropolitan statistical area (MSA) affiliate groups and related events and communications. Help set vision for these functions. Grow key affiliate groups, boards and councils to increase revenue and penetration in key markets.
