Job Summary
We are seeking an Executive Assistant in the Office of the CEO and CIO. This person will provide advanced executive administrative support requiring broad experience, skills and knowledge of organization operations, policies and practices. In this role the EA must be able to exercise discretion and independent judgment with respect to matters of significance for the organization as it relates to the role. S/he must have the ability to multi-task with impeccable attention to detail in a fast paced, deadline driven environment, with an innate ability to communicate effectively with all levels of management and peers. This is an exciting opportunity for a self-starter seeking a dynamic role.
Must be able to maintain presence in Nassau's Hartford, CT and New York City, NY offices.

The base salary for this position falls within: $85,000-$110,000 depending upon experience.

Principal Duties and Responsibilities
- Perform a broad variety of administrative tasks that include managing an active calendar of appointments; planning and facilitating meetings, compiling and researching content and documents for meetings, completing expense reports and composing, preparing, and prioritizing correspondence. Must be able to anticipate and solve for challenges to ensure the most strategic use of the executive's time.
- Provide backup assistance to the CEO; including but not limited to supporting the CEO seamlessly in the lead Executive Assistant's absence.
- Lead various aspects of office management.
- Manage multiple projects at one time.
- Prepare presentation materials for the CIO.
- Initiate timely response to emails, voicemails and written correspondence.
- Manage and run business and personal tasks & errands.
- Organize and coordinate special events and meetings, including arranging locations, logistics, conference rooms, catering, room prep, communications, and overall support.
- Support and assist team members in the department.
- Assist in coordinating agendas, assemble content and topics from participants, and help participants be prepared for meetings and projects; also support actions and follow ups
- Prioritize CIO projects and deliverables; ensure deadlines are met.
- Coordinate Investment team deliverables and follow up as needed.
- Review and approve CIO's direct report expense reimbursement requests, IT requests, and PTO requests.
- Onboard new hires and create orientation schedules.
- Organize and coordinate administrative duties related to certain company assets and resources, such as company equipment, stocking of supplies, working with vendors, and other duties as needed or assigned. Ability to represent company in dealings with third parties.
- Focus on hospitality toward both internal and external stakeholders. Make others feel welcome in the Office of the CEO and CIO.
- Arrange travel and submit expenses as needed; identify errors and reconcile discrepancies.
- Provide leadership to build relationships crucial to the success of the organization and manage a variety of special projects, some of which may have organizational impact.
- Demonstrate ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
- Ability to work independently and operate under pressure at times to handle a wide variety of activities and confidential matters with discretion.
- Must maintain appropriate attendance and executive presence.
- Perform other duties as assigned.
Knowledge, Skills and Abilities
- Bachelor's degree preferred. Will consider the equivalent combination of experience and education.
- 7 (Seven) or more years' administrative support experience supporting senior leadership.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to details.
- A team player with exceptional customer service skills.
- Well versed in Microsoft Office applications, including Powerpoint and Excel, and email software.
- Keen organizational understanding.
- Must be flexible and available with respect to working overtime and off-hours.
- Able to function independently, while supporting group functions and initiatives.
- Excellent verbal and written communication skills including written correspondence and presentations; ability to interact with individuals at all levels internally and externally, including Executive level.
- Flexible and adaptable, excellent interpersonal skills; ability to work on site Monday through Friday and travel to other offices as needed.
- Ability to anticipate needs, prioritize assignments, meet deadlines and focus on critical deliverables.
