GENERAL DESCRIPTION:

Provides a variety of clerical support for the Youth Home. Perform a variety of ongoing work functions that include a diversity of records, reports and filing activities, public contact, office equipment operation, composition, and other general office duties. Work requires a knowledge and use of applicable office equipment systems and related technology.

DUTIES AND RESPONSIBILITIES:

  • Answering a multi-line telephone;
  • Sorts, screens, and distributes incoming and outgoing mail;
  • Drafts or prepares responses to routine inquiries;
  • Directing calls;
  • Assist customers and other department employees by responding to questions;
  • Greets and directs visitors, as and when appropriate;
  • Resolves routine administrative problems and answers inquiries concerning office activities;
  • Taking and distributing of mail;
  • Operating of standard office equipment;
  • Performs related tasks as required.
KNOWLEDGE, SKILLS AND ABILITIES:
  • General knowledge of office or work unit procedures, methods and practices;
  • General knowledge of and ability to use correct spelling, punctuation and specialized vocabulary; ability to proofread;
  • General knowledge of office accounting and record keeping procedures, mathematics and their application in the work environment;
  • Ability to learn and apply a variety of guidelines applicable to the work process;
  • Ability to use a variety of office equipment;
  • Ability to work with people with courtesy and tact in performing public contact duties;
  • Ability to record and compile information based on general guidelines;
  • Ability to balance and reconcile figures;
  • Ability to screen communications based on predetermined guidelines;
  • Ability to gather and give information and instructions regarding the work process and procedures;
  • Ability to learn to use specialized office equipment;
  • Detail and customer services oriented;
  • May require ability to coordinate work of other support staff, student workers or volunteers.
MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:
  • High School Graduation or GED equivalent.
  • One (1) year of customer service, clerical support or related experience preferred.
PREFERRED QUALIFICATIONS:
  • Proficiency in Microsoft Office and Excel is highly desired.
PHYSICAL DEMANDS:

Physical demands refer to the requirements for physical exertion and coordination of limb and body movement.
  • Performs sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a regular and recurring basis or sustained keyboard operations.
