QSI is seeking an Executive Assistant II to support our government client in Washington, D.C. The Executive Assistant II serves as the Executive Assistant to VO Office Directors, the Managing Director, Deputy Assistant Secretary, and other select VO leadership as determined by the VO/DO Director. They serve as a clerical expert in independently processing the most complicated types of office actions in support of their Government managers, reducing the number of administrative and support tasks their Government managers must do themselves. The Executive Assistant II may be asked to evaluate and consolidate information from various sources under short deadlines, such as internal or external survey information, reporting on statistics (retention, staffing, visa processing, etc.). Guidance is provided as needed; however, this person is expected to work independently in delivering tasks and reports as required by the Government management. Completed written work may or may not receive close technical review from high-level Government employees, and is expected to be clear, concise, and accurate regardless of review. The Executive Assistant II maintains confidential information (employee lists, management contact info, etc.). The Executive Assistant II must have strong judgement and discretion to be able to take on complex administrative tasks such as organizing seating arrangements and managing non-inherently governmental programs. A Government manager will provide day-to-day oversight and direction. You must have an active Secret security clearance.

Anticipated Duties/Tasks:

The Executive Assistant II performs a variety of administrative and secretarial functions and at a minimum, shall perform the following functions:
  • All of the duties of the Executive Assistant I, as well as:
  • Maintain their Government manager and/or unit's calendar of upcoming events, guest log, appointments, and other activities, negotiate conflicts, and ensure the Government manager has the appropriate briefing or other preparation material for all meetings and events in a timely manner;
  • Track and monitor the status of memoranda, correspondence, and taskers within their assigned unit;
  • Provide support to other projects or tasks as required;
  • Ensure video conferencing and communication devices are working appropriately in internal and shared spaces and liaise with the appropriate for any repairs;
  • Undertake advanced projects specific to the office they support. For example, in VO/DO, the Executive Assistant administers the VO-wide duty program;
  • Maintain up to date records regarding any office vacancies as well as pending arrival and departure dates for all staff (direct hire and contract) arriving or departing;
  • Under the direction of the USG team, independently develop and modify as needed complex agendas, schedules, and programs for conferences and visitors; and
  • Maintain and update their office's electronic filing system.


Education / Experience Required

  • Highschool diploma (at least 2-year college degree preferred) and
  • Three (3) years of experience as an Administrative Assistant/Executive Assistant, or policy or program advisor in an office environment, including
  • Demonstrated experience with document management, preferably for a legal department or other office and
  • Demonstrated ability to prioritize and organize simultaneous workflow duties
