What you'll be doing
Responsibilities
- Manage the Company's bid process from identification to submission and pre-award negotiations.
Managing the bid process:
- Proposal writers are responsible for managing the bid process from start to finish, including proposal writing, editing and submission. They must ensure that the bid response is submitted on time and all the documentation is accurate and compliant.
- Proactively retrieve new RFP/ITT's, RFIs and RFQs for assessment and evaluation.
- Analyze bid requirements, develop and distribute the proposal compliance matrix within the team.
- Track bid responses and evaluations of bid responses in activity log and Salesforce
- Maintain and update content as part of corporate proposal library.
- Participate in bid/no bid reviews with the leadership team and maintain an activity log. Conduct win/loss reviews.
- Develop effective processes, assets and resources to support Bidding.
- Ad Hoc duties as directed by the leadership team.
Creating Bid Content:
- Responses must be kept up to date with best practice information, technical guides and tender response recommendations.
- Ensure win themes are articulated in such a way to meet / exceed the client's requirements
- Lead storyboard sessions with bid / proposal team members
- Identify and re-work existing pre-written content where relevant.
- Put together exceptional bids clearly demonstrating product benefits and accurately responding to all elements to meet or exceed the bid requirements within stipulated time frames.
- Ability to work on multiple bids at once.
Collaborating:
- Write / edit proposal responses from a variety of stakeholders and subject matter experts to ensure proposals are comprehensive and meet client's objectives.
- Collaborate with external stakeholders such as sub-contractors to gather information and create winning proposals
Research:
- Undertake market research for the kick-off meetings
- Keep up to date with best practice information, techniques guides, and tender response recommendations.
Essential Knowledge, Skills, and Experience
Demonstrated experience / projects
- Proven track record of winning new business through the bidding process.
- Start to delivery - owning the bid process
Technical / Hard Skills
- Writing or Grammar courses
People Management experience (if applicable)
- An ability to work effectively with a diverse team and build effective working relationships
Years of Experience
- 5+ years relevant experience
- Experience in a SaaS or a similarly technical industry would be preferred
- Previous experience with PCI regulations would be preferred
Education (post-secondary, certification, etc.)
- Degree or Certification is helpful, or relevant writing experience

- Attention to detail: Must have an excellent attention to detail to ensure that all bid content is accurate and compliant.
- Technical Writing: Proposal writers must have a good understanding of technical writing to create accurate and technical bid content.

- Time Management: must have excellent time management skills to manage multiple
bids simultaneously and meet tight deadlines.
- Collaboration: Must be able to work effectively with internal and external stakeholders.
- Self motivated
- Knowledge of proposal automation software - Responsive
Communication
- Excellent communication skills and extensive proposal writing and editing experience.
Problem Solving / Decision Making
- Flexibility in adapting to deadlines, changing schedules, priorities and unpredictable events.
