The MLA is a 501-C-6 industry association governed by a board of directors comprised of commercial lobstermen, and operations are overseen by its chief operating officer. To learn more about MLCA, visit www.mlcalliance.org Position Description: The MLA and MLCA seek to share a full-time (35-40 hours/week) Office Operations Manager. Core duties include supporting senior staff, management of the shared office, MLA and MLCA online store, MLA and MLCA fundraising support, MLA membership support, and collaborating on MLCAs monthly newspaper, Landings. Responsibilities: ? Attend to everyday office operational matters including answering phones, maintaining office equipment, ordering supplies, collecting and distributing mail, sorting and distributing incoming invoices, payments and correspondence, preparing mailings including quality check of data, mail merge, and mailing. ? Provide bookkeeping assistance by categorizing credit card statements and online purchases. ? Maintain online retail stores (Wix and Printful) including customer support and product creation. ? Track onsite merchandise inventory and fulfill orders. ? Maintain online calendar and update websites (Wix). ? Work closely with the MLA/MLCA Director of Advancement and MLA Membership Director to support member and donor management through data entry, communications, mailings, merchandise fulfillment, and outreach. ? Provide support in coordinating monthly board meetings, events and fundraisers. ? Attend monthly board meetings and periodic fundraising events to provide administrative support. Pack and unpack support materials and merchandise for events. ? Assist with monthly tasks including publication of MLCAs monthly newspaper, Landings, through proof-reading stories, confirming advertisers, drafting assigned content, proofing draft layout, posting final issue and individual stories online, creating tear sheets for monthly billing, and issues monitoring such as Aquaculture lease developments for monthly content. ? Conduct other administrative tasks as needed including ordering supplies, filing, organization, errands, etc. Qualifications: ? The successful applicant will have demonstrated success in managing an office or running a small business and proficiency with multi-tasking in a small office setting. ? Must be patient with a can-do attitude, able to foster a positive office environment, and work well independently as well as part of a small team. Willingness to pitch in where needed when working under deadline. ? Strong computer skills are required. The MLA uses Office 365 so proficiency in Microsoft Office (Word a nd Excel) is required; familiarity with Publisher a plus. Familiarity with Adobe products, Canva, Wix, database programs and website administration strongly preferred. Candidate must be willing to learn and develop proficiency in new software programs. ? Strong interpersonal skills and experience answering phones are required and essential to the success of the applicant. Applicant must be open minded, have strong active listening skills, and the ability to direct calls to appropriate staff. Applicants must be able to draft informative and respectful responses to online inquiries. ? Candidates with knowledge of the Maine lobster industry, experience working with fishermen or in fishing communities, or other related coastal industries are strongly preferred.
