SPECIAL EVENTS ASSISTANT

This Full-Time Non-Exempt position is based on a 40 hour work week with an hourly pay range TBD. This position is part of the Public Employees Union (PEU) Collective bargaining agreement and will work at Leisure Services Beach Complex located at 17 South M St, Lake Worth Beach, FL 33460.

Candidates must demonstrate a successful track record in event planning, marketing, sponsorships, as well as proven abilities in public/media relations, graphic design/publishing, staff/volunteer/contractor management, and budget accountability. The successful candidate is at ease working in partnership with other team members in a high volume, fast-paced environment. This position reports to the Leisure Services Special Event Manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Coordinate City-Wide External special events, including but not limited to: Midnight Sun Fest, Palm Beach Pride Fest, The Crossing and Maya Festival.
- Respond to daily phone calls and e-mails.
- Responsible for the coordination of the Special Event Temporary Permit request process and ensuring that City wide special event policies and procedures are followed.
- Responsible for coordination for Temporary Permit Street Closures.
- Assists in the coordination, planning, and implementation of existing City-wide special events, including but not limited to: Holiday Parade, Veterans Parade, Daddy Daughter Date Night, Easter Egg Hunt Celebration, 4th of July Celebration, and Public Bonfires.
- Implement New Programming Ideas.
- Promotes and advertises City-Led special events through newspapers, radio commercials, television commercials, flyers, posters, and public service announcements; designs, prepares, and distributes flyers and posters for special events.
- Responsible for set-up/Breakdown for all Special Events and ensure that guests vacate the premises safely at the end of the event.
- Follow established procedures for invoicing and payment processing. Keep detailed records of all transactions and verify accuracy.
- Ensure all finance-related documents are completed accurately and submitted according to guidelines. Regularly review procedures to stay compliant.
- Assist with sourcing and creating sponsorship opportunities.
- Assist with City of LWB Events calendar and ensure updated online (City Website).
- Performs other duties as assigned.
