Job Summary
Assist Director of Sales, Sales Managers, and Catering Manager in obtaining customer satisfaction by performing clerical and administrative duties relating to guest and hotel communications through the sales team. The incumbent may also perform light selling duties to small groups and functions as directed by the Director of Sales.
Qualifications
- High School diploma or equivalent is required with college course work in related field preferred. Minimum of six (6) months prior reservations or front office experience required in a full service hotel or related.
- Prior experience with OnQ PMS is preferred
- Ability to type 55 wpm
- Proficient with Microsoft operating Systems OnQ and Delphi FDC
- Must be able to convey information and ideas clearly.
- Must work well in stressful high-pressure situations.
- Must maintain composure and objectivity under pressure.
- Hilton system knowledge.
- Requirements include strong organizational skills, guest service experience, computer skills including Word, Excel & Outlook, an outgoing personality and the desire to help others.
- Delphi experience is preferred, but not required.
- Assist Director of Sales, Director of Catering, and Sales Managers in managing customer accounts, group blocks and maintaining relationships
- Qualify all incoming leads
- Work closely with other departments in the hotel, attend daily stand-up meetings to provide information in a timely manner and ensure group needs are carried out as contracted.
- Assist in preparing and distributing Group resumes to all departments. Communicate effectively with customers, managers and associates to ensure all information related to groups are conveyed smoothly.
- Assist with all client billing
- Assist with sending proposals & contracts, detailing event orders, & other clericals duties as needed
- Support direct sales activities and business development initiatives
- Coordinate with the sales team to ensure timely responses to customer inquiries
- Utilize technology sales tools such as Delphi, OnQ PM, & Canva for efficient data management and content creation
- Create marketing materials including flyers, advertisements, email blasts, & direct mailings
- Collaborate with the team on upselling strategies and opportunities
- Within 24 hours of receipt, inputs group room listings by following a detailed checklist
- Works with Director of Revenue Management to achieve optimum occupancy and revenue
- Reviews contracts for accuracy in rates, dates, billing inventory levels, and other miscellaneous information
- Creates and maintains complete files on all bookings reflected in Sales PMS
- Provides information and assistance to enhance guest service
- Participate in weekly group pick-up meetings
- Provides continuous service to hotel and guests to assure guest satisfaction
- Attend group pre-function meetings
- Answer reservation sales calls when volume dictates
- Posts, tracks and follows all SOP's with advance purchase/deposit reservations
- Perform various other duties as assigned to meet business objectives
- Previous experience in a sales support role preferred, but not required
- Strong organizational and time management skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to work independently and as part of a team
- Experience with Delphi, OnQ PM, Canva or similar applications is a plus
