THE BROAD

The Broad's mission is to make contemporary art accessible to the widest possible audience. Founded in 2015 on Grand Avenue in downtown Los Angeles by philanthropists Eli and Edythe Broad, the museum offers free general admission and presents an active Program of special exhibitions and innovative live events, all within a landmark building designed by Diller Scofidio + Renfro. Welcoming around 900,000 visitors per year, The Broad is a bustling public space, and serves as home to the Broad collection, one of the world's leading collections of postwar and contemporary art, which continues to grow as new artists and artworks are added. The museum is also the headquarters of The Broad Art Foundation's worldwide lending library, which has been loaning collection works to museums around the world since 1984. To create greater public access, The Broad will break ground on a 55,000 square foot expansion in early 2025.

The Broad's approach to the art museum experience has consistently attracted a young and diverse visitorship: over 60% of visitors identify as Black, Indigenous, and People of Color (BIPOC) (compared to 27% at art museums nationwide). 60% are under the age of 35.

ABOUT THE POSITION

The Executive Assistant provides executive level support to two leaders in the museum, the Chief Operating Officer (COO) and the Chief Strategy Officer (CSO). They are responsible for managing the administrative needs of COO & CSO to ensure that their time is effectively allocated and that they have the information and materials needed to advance the priorities of their respective roles.

The Executive Assistant will perform a wide range of support activities including calendar management, reviewing, prioritizing, and managing incoming requests through email and other communication, travel arrangements, project support, preparation of reports, presentations, and other duties as required by a complex and evolving work environment. Candidates must demonstrate experience supporting senior executives or principals on multifaceted and sensitive issues, an ability to handle a high degree of confidential information, exceptional time management and organizational skills, and high standards for attention to detail and quality of work.

DUTIES AND RESPONSIBILITIES
• Provide high-level administrative support -- anticipating, identifying, and addressing the needs of the COO and CSO, executing solutions to those needs in a timely manner.
• Coordinate the COO & CSO's schedule, ensuring that meetings, deadlines, presentations, and other duties are carried out seamlessly.
• Help organize and synchronize the COO's and CSO's efforts, through monitoring a steady stream of commitments and deadlines and attending key planning meetings to take notes on themes, conclusions, and follow-up action items, and track the status of action items assigned.
• Provide support for Board meetings, including meeting logistics and recording minutes.
• Assist in the contract management process and ensure an up-to-date and accurate contract inventory.
• Submit invoices and expense reports for payment.
• Serve as a delegate for time tracking.
• As a member of the administrative/office support team, responsibilities in this role also include ordering supplies, maintaining office equipment, and providing general administrative office support as needed.
• Other duties as assigned.

QUALIFICATIONS
• Requires excellent judgment; strong communication, writing and computer skills and effective presentation, negotiation, problem solving, and conflict resolution skills.
• Effective time management and attention to detail.
• Must maintain a positive working relationship with a large and diverse staff.
• A professional demeanor and ability to stay calm under pressure.
• Experience with creating and maintaining budgets.
• A proven track record of or aptitude for customer service.
• Approaches work with integrity and honesty.
• Ability to multi-task and meet deadlines.
• Demonstrates empathy, active listening, and critical thinking.
• At least 5 years of professional experience in increasingly responsible administrative positions in a fast-paced dynamic office.

• Supports and demonstrates the museum's culture of developing a diverse, equitable, inclusive, and accessible environment for staff, contract staff, vendors, and visitors.

PHYSICAL REQUIREMENTS

Sitting with some bending and reaching with occasional lifting. Engaging in repetitive motions of wrists, hands, and fingers.

COMPENSATION AND BENEFITS

The salary range for this role is $85,000 to $95,000.

Employees can expect to work 40 hours a week.
