Piper Shores is Maine's premier nonprofit continuing care retirement community. We are looking for a part-time Receptionist in our General Administrative Department. The Receptionist is responsible for answering and transferring all incoming calls in a courteous and professional manner, giving information, providing customer service to residents, staff, guests, and vendors, and performing a variety of other clerical duties as assigned. Friday 1p-5:30p, Saturday and Sunday 9a-3p
Responsibilities:
Physical effort is minimal. Seventy-five percent (75%) of the workday is spent sitting, standing intermittently, and bending. Must be able to lift and carry up to twenty (20) pounds. Will be exposed to pets and pet dander daily from residents bringing pets to the front desk and in the lobby. Will be exposed to plants and flowers daily due to florist deliveries to front desk. Requires manual coordination to operate telephone console, computer, and other business equipment. Requires continuous mental and visual attention to diversified operations. Must be able to function efficiently despite distractions and interruptions. Communicates orally and/or in writing with residents, coworkers, families, vendors, and other visitors to the community. Will be exposed to pets, pet dander, flowers, and plants in both buildings and throughout campus.

Responsibilities:
- Closes the reception desk and properly secures all files, keys and equipment in the office area.
- Receives persons who enter the community in a courteous manner, informs, guides, directs or otherwise assists residents, visitors, staff, and vendors tactfully and congenially to present the best possible image of the community.
- Performs daily resident security check-in and notifies appropriate staff within the designated time frame of any resident(s) not checked in
- Communicates to the appropriate parties, promptly and clearly, all messages and material directed to them through the business office.
- Accepts and records, as directed, payments, guest room reservations, appointments, cancellations, etc.
- Safeguards confidentiality of residents by adhering to privacy practices. Releases resident and other information only as directed.
- Sorts and distributes mail. Coordinates receipt and delivery of packages with appropriate staff.
- Assists residents with photocopy, faxing, postage, laminating, and other front desk services.
- Opens and date-stamps invoices, stuffs envelopes, sorts and files materials, and assists other departments with routine clerical tasks that can be performed at the front desk.
- High School graduate, or equivalent. Ability to communicate efficiently in English using proper grammar and in a pleasant manner.
- Typing and experience with PCs and MS Office required.
- Experience operating a variety of business machines, i.e., photocopier, fax, mailing machine, etc.
- Ability to work without supervision (evenings and weekends), including ability to problem-solve and make good decisions based upon the information available.
- Prior reception experience preferred.
- Must be able to handle multiple routine tasks, follow specific instructions carefully, and general instructions completely.
- Reliability, including ability to work scheduled shifts during inclement weather, since Piper Shores reception desk is open 7 days per week.
