Job Title: Administrative Assistant (Operator)
Reports to: Executive Assistant
Job Summary:
Provides vital support to club leaders under the direction of the Executive Assistant. Performs a variety of administrative tasks that require confidentiality, strong communication skills, and a comprehensive understanding of Club policies and procedures.

Job Title: Administrative Assistant (Operator)
Reports to: Executive Assistant
Job Summary:
Provides vital support to club leaders under the direction of the Executive Assistant. Performs a variety of administrative tasks that require confidentiality, strong communication skills, and a comprehensive understanding of Club policies and procedures.
Job Responsibilities:
- Performs administrative duties as directed by the Executive Assistant
- Handles matters and support functions requiring in-depth knowledge of Club policies.
- Maintains positive relationships with staff and stakeholders.
- Distributes information to staff as needed.
- Communicates and coordinates Executive Assistant instructions with various individuals and departments.
- Responds to inquiries and prepare routine and non-routine correspondence.
- Assists in various administrative projects and support research efforts.
- Operates and maintains office equipment, including printers, copiers, and fax machines.
- Ensures deadlines are met while adapting to changing priorities.
- Processes expense reports and monitors incoming invoices.
- Answers and direct phone calls, retrieves and distributes messages, and responds to basic inquiries.
- Greets and directs visitors, clients, and employees in a professional manner.
- Maintains inventory of office supplies and coordinate the maintenance of office equipment.
- Opens, sorts, and distributes incoming mail.
- Manages electronic and physical documents (scanning, copying, etc.).
- Prepares and mails correspondence via various delivery methods (first class, certified, Federal Express).
- Prints and mail checks, invoices, and other documents as needed.
- Assists other departments with administrative tasks upon request.
- All other duties as assigned by the Executive Assistant and or General Manager
Required Skills/Abilities:
- Proven experience in an administrative role.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with discretion.
- Proficiency in office software and equipment.
- Strong multitasking abilities and adaptability to changing priorities.
- High school diploma required; Bachelor's degree in Business Administration or related field preferred.
- At least two years of related experience required.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
