Administrative Assistant
***Active Secret Clearance Required***
The employee provides administrative support to EUR/PPD, including travel arrangements, voucher processing, event assistance, and personnel matters. They serve as the main contact for procurement, contracts, and onboarding/offboarding and report to the Strategic Resources Planning Coordinator, with oversight from the Senior Deputy Director.
Compensation & Benefits:
Estimated Starting Salary Range for Administrative Assistant: $ 77,968.10
Pay commensurate with experience.
Full time benefits include Medical, Dental, Vision, 401K, and other possible benefits as provided. Benefits are subject to change with or without notice.

Administrative Assistant Responsibilities Include:
- Coordinates EUR/PPD (Bureau of European and Eurasian Affairs/Office of Policy and Public Diplomacy) travel, ensuring compliance with regulations, proper authorization, and visa/travel requirements.
- Acts as backup timekeeper, ensuring accurate and timely time and attendance tracking.
- Manages and tracks budgets for EUR/PPD representational and staff travel funds.
- Updates Public Diplomacy distribution lists, including Public Diplomacy (PD), Public Diplomacy Desk Officers, Public Affairs Officers (PAO), Cultural Affairs Officers (CAO), and Information Officers (IO).
- Serves as Security Officer, overseeing training, adherence to security practices, and contingency planning.
- Prepares paperwork and Memoranda of Understanding (MOUs) for temporary assignments, assists with onboarding, and maintains staff arrival/departure records.
- Supports visitor and program participant processing, including the International Visitor Leadership Program (IVLP) and other exchange programs, and assists with Transatlantic Diplomatic Fellowship (TDF) program logistics and events.
- Resolves administrative issues, coordinates with Information Technology (IT) and the Executive Office, tracks supplies, and organizes Resource Unit meetings.
- Perform additional duties as assigned.
Experience and Education Requirements:
- Associate's Degree in Office Management, Business Administration
- One to three (1-3) years of demonstrated work experience related to administrative and operations management experience
- Travel Coordination: Familiarity with travel regulations, authorization processes, and visa requirements.
- Timekeeping: Knowledge of time and attendance tracking systems.
- Budget Management: Ability to track, maintain, and reconcile budgets for multiple funds.
- Supply Management: Organizational skills to monitor and replenish office supplies.
- Ability to make independent decisions and judgments on routine procedural issues.
- Demonstrated ability to provide excellent customer service.
- Software Proficiency: Experience with SharePoint, budget tracking tools, and MS Office
- Candidates must be US Citizens
- Candidates must hold an active SECRET clearance
- Candidates will be subject to a US Federal Government background investigation and must favorably pass a drug screen
