Norwalk, CT based finance firm seeks an experienced Administrative Assistant. Must be incredibly organized, detail-oriented, and able to juggle multiple priorities at once supporting a team of senior executives.

Onsite Mon-Fri in Norwalk, CT

$65K - $80K base plus OT & bonus

Hours: 8:30am - 5:30pm

Duties:

  • Manage calendaring and scheduling for a team of senior executives
  • Arrange travel and submit expenses as needed
  • Complete administrative tasks for various members of leadership team including arranging meetings, conducting research, preparing documents, handling expense reports, and answering phones
  • Assist in creating agendas, collecting feedback from meeting attendees, and follow-ups for meetings and projects
  • Update financial documents, assist in drafting and editing (redlining and blacklining) legal agreements and other documentation as required
  • Manage company vendor accounts; add/remove employees, adjustment stipends for catering, and create check requests from monthly invoices
  • Coordinate events and work with administrative team to ensure overall tidiness and smooth operations of office
  • Serve as a back-up for the Receptionist and the Executive Assistant as necessary

Qualifications:

  • 5+ years supporting a team within finance/legal/insurance or other professional services environments
  • Bachelor's degree preferred
  • Excellent organizational, proofreading, writing and interpersonal skills
  • Strong time management skills, high degree of accuracy and ability to meet deadlines
  • Proficiency in MS Word, Excel, Outlook and PowerPoint
  • SharePoint experience a plus
  • Ability to interact with all levels of employees and clients, creating strong working relationships
  • Must be able to anticipate and solve for challenges
  • Notary Public a plus
