Description
We are currently seeking a dedicated and organized Administrative Assistant to assist our plant managers and supervisors with various administrative and office tasks. This role is crucial in ensuring smooth operations and efficient communication within the organization. As an Administrative Assistant, you will be responsible for handling phone calls, providing customer service, processing orders, and maintaining accurate records.
Essential Job Functions:
- Answer incoming phone calls promptly and courteously, addressing inquiries or directing callers to the appropriate personnel.
- Take and process orders over the phone, ensuring accuracy and efficiency in order processing.
- Provide customers with product descriptions and necessary information to assist them in making informed decisions.
- Offer exceptional internal and external customer service to foster positive relationships with clients and colleagues.
- Handle billing tasks, ensuring orders from customers are processed accurately and promptly.
- Receive Accounts Receivable (A/R) information and enter it into the Syspro system, subsequently forwarding it to the Plant Administrator for depositing.
- Input all customer service orders into the system to maintain up-to-date records and facilitate smooth operations.
- Confirm services and appointments with clients, ensuring timely communication and addressing any queries they may have.
- Coordinate with plant teams to provide them with service times for the upcoming day, ensuring effective scheduling and resource management.
- High School Diploma or GED is required.
- Previous experience with multi-line telephone systems is preferred.
- Proficiency in MS Word, MS Excel, and MS Outlook is essential.
- Excellent written and verbal communication skills to effectively interact with customers and internal teams.
- Strong organizational skills and the ability to prioritize projects to meet deadlines.
- A keen eye for detail and good research skills to ensure accuracy in administrative tasks.
