TransCore (TCI) is seeking a part-time Administrative Assistant to join our team in the Peachtree Corners, Georgia office.
Summary:The Administrative Assistant manages a variety of general office activities by performing the below duties and supports the company's day-to-day operations by maintaining overall general office activities to include the reception area, mail, shipments, requisition of supplies, liaison with property management company, document preparation and proofing, preparing project invoices, organizing office operations and procedures.
This position is in-office and is not eligible for remote work. Anticipated 3 days/week in office.

Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Analyzes and organizes office operations and procedures such as information management, filing systems, requisition of supplies, and other clerical services
- Serve as first point of contact for visitors to the office and phone calls.
- Assist with shipping, bids, and proposal documents
- Monitors building maintenance needs and coordinates with building owner and/or other parties as needed to complete any maintenance required
- Maintains uniform correspondence procedures and style practices
- Adheres to procedures for systematic retention, protection, retrieval, transfer, and disposal of records
- Assist procurement department by receiving items into Costpoint system, following procurement procedures
- Prepare project invoices to support project management using Costpoint system and Excel, following procedures provided by project managers
- Required to obtain and maintain State of Georgia Notary Public
- Receive, report, and track building maintenance issues with property management company
- Manage office electronic building access and security system, including training new employees and authorized visitors on use of the system.
- Prepare business proposals and product documentation for project management or product development as needed for TransCore's products
- Serve as point of contact for office equipment contracts (e.g., photocopiers, printers, postage meters, vending machines).
- Any other tasks as needed and identified by management.
- High school diploma or general education degree (GED) with 3 to 5 years of previous work-related skill, knowledge, and experience in office management required.
- Associate degree or equivalent from two-year college or technical school preferred.
- Knowledge of business and management principles involved in project management, accounting, finance, human resources, organization and coordination of people and resources, and leadership
- Demonstrated proficiency with Microsoft Office (Word, Excel)
- Time management, adaptable, reliable, responsible, dependable
- Ability to multi-task and produce desired results in a deadline driven environment
- Ability to communicate clearly and concisely; to read and interpret documents letters and reports; to write routine reports and correspondence; communicate effectively with groups of peers.
