General Purpose
The Administrative Assistant provides coordination and support the operations of the team. This position includes a high volume of data entry. The job interfaces frequently with peers and managers and occasionally with customers, ensures all tasks are compliant with applicable Federal, State, and Local Department of Transportation regulations as well as compliant with all policies, practices and procedures.

General Purpose
The Administrative Assistant provides coordination and support the operations of the team. This position includes a high volume of data entry. The job interfaces frequently with peers and managers and occasionally with customers, ensures all tasks are compliant with applicable Federal, State, and Local Department of Transportation regulations as well as compliant with all policies, practices and procedures.
Primary Responsibilities (Essential Functions):
- Sign manifests/bills of lading (BOLs) as the end facility.
- Manage life cycle of signed manifests/BOLs, including Land Disposal Restrictions (LDRs) associated paperwork, IDP Scanning, mailing to customers, and mailing to States' Environmental Divisions, filing of hard copies into banker boxes for storage.
- Generate purchase orders (POs) as requested by management and as necessary for supplies.
- Track invoices for all POs generated.
- Enter PO updates as needed.
- Manage paperwork storage. Send documents for shredding after three years of storage from date of receipt by facility.
- Manage and track supplies related to office, breakroom, and PPE.
- Perform office administrative tasks - maintain electronic and paper files, rosters, contact lists; accurately update files, reports, spreadsheets and documentation, sort and distribute mail.
- Answer the door both at the front and employee door.
- Ensure visitors sign in and receive a visitor badge.
- Escort any contractor to areas they need access to.
- Perform other reasonably related tasks as assigned by management.
Qualifications
Basic Required Qualifications:
- High school diploma or GED
- 2+ years of experience working in an administrative support role
- Demonstrate strong computer skills in Microsoft Products: Work, Excel and Outlook
- Ability to create and maintain spreadsheets using formulas
- Ability to organize and prioritize tasks to meet deadlines
- Fluent in English, both written and verbal with the ability to create clear and concise memos and letters
- Associates degree
- 2+ years of experience administrative working in an office setting
- Proficiency using Windows based software platforms
- Knowledge of RCRA, DOT and Hazmat regulations
