Job Description:

Hourly pay rate up to $22, Depending on experience.

As an Administrative Assistant, your primary responsibilities will involve providing essential support to ensure the efficient operation of the office and organization.

Essential Functions

  • Greet visitors and handle their inquiries or direct them to the appropriate person according to their needs.
  • Answer phone and give information to callers, take messages, or transfer calls to appropriate individuals.
  • Maintain scheduling and event calendars.
  • Coordinate Safety Training as needed.
  • Arrange lunches for Safety Training and Monthly Meetings as needed.
  • Prepare conference or event materials, such as flyers or invitations for Team Building events.
  • Make copies of correspondence or other printed material.Scan and distribute as needed.
  • Pickup, open, read, route, and distribute incoming mail or other materials and mail out items as needed.Fedex outgoing items as needed.
  • Twice a month reconcile the Home Depot Credit Card, Email Superintendents for any missing information needed.
  • Use computers for various applications, such as database management or word processing.
  • Create, maintain, and enter information into databases.
  • Manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, correspondence, or other material.
  • Operate office equipment, such as copiers, or phone systems and arrange for repairs when equipment malfunctions.
  • Provides daily administrative support for the Office Manager, Operations Manager, Project Managers and Sales Team as needed.
  • Keep track of employees Safety Certifications by utilizing the current Excel sheet. Update Safety Excel sheet and inform Management/Employee of needing renewal Safety Certifications and assist with registration for new Safety Certificate Training. Set New Employee up for Safety Certification Online Classes via Drivers Alert site.
  • Archives field project files for completed projects, ensuring orderly storage.
  • Request Project Specific COIs and maintain the COI folder for new COIs and Renewals, disperse by email as needed and requested.
  • General Office Supply Management, Reception Duties, Miscellaneous Support
  • Book new projects and later setup projects using information provided by the Project Manager and reviewing the Contract.
  • Performs additional assignments as directed.

Education and/or Experience

  • At least 1year experience administrative required, 2 years of experience is preferred.
  • Competent in Microsoft Office software programs including TEAMS, Outlook and ZOOM.
  • Strong proficiency in Excel is required.Ability to Read and understand a Construction Contract is a Plus.

Language and Skills

Ability to read, analyze and interpret general technical procedures. Strong business level communications skills, writing as well as verbal, are required. Ability to present information and respond to questions effectively from lower levels of management and below. Ability to speak Spanish a plus but not required.

Mathematical Skills

Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Physical Demands

This is largely a sedentary role. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

Position Type/Expected Hours of Work

Business hours are Monday through Friday from 8:00 a.m. to 5 p.m. with an hour lunch. This is an Hourly rate position.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
