Overview:

This position performs general administrative duties to support all departments within the office.

We are seeking an Administrative Assistant, preferably with past experience in the Engineering industry, that is interested in working a 32-hour work week, Monday through Thursday. This will include access to all the benefits that NV5 has to offer.

Responsibilities:
  • Open/close reception area;
  • Greet and assist visitors and answer phone calls in a friendly and professional manner that best represents NV5; provide hospitality to visitors; take messages when appropriate
  • General copying/scanning as needed.
  • Manage incoming/outgoing mail.
  • Prepare FedEx shipments
  • Monitor and order office and breakroom supplies.
  • Assist with new employee onboarding (workstation set-up, HR forms, name plates, key cards, etc.) or employment separation process.
  • Maintain vehicle check-out system and vehicle maintenance records.
  • Special projects assistance (set up meetings, order lunches, travel/lodging arrangements, prepare binders/presentation materials, formatting/updating Word/Excel files, organize materials and supply closets, etc.).
  • Assist with completion of forms, applications, and various reporting requirements.
  • Deliver and pick-up construction plan sets, subdivision plats, records of survey, etc. as needed to assist in the approval and recording processes.
  • Internet or research support (billing inquiries, missing/broken components to office equipment, vendors/pricing of services, equipment, or supplies).
  • Request Certificates of Insurance for new projects
  • Assist Project Managers in preparation of Project Setup Forms (PSF) (Excel).
  • Scan invoices, PSFs/contract, change orders, etc. and file electronically.
  • Check status of invoice payments and follow-up on unpaid invoices
  • Vendor invoices (Accounts Payable) add codes, OM signature, upload to Vantage Point, and file.
  • Maintain vendor files
Qualifications:
  • High School diploma/GED required with a minimum of 4 years of experience in an office environment.
  • Experience with Land Planning / Development application processing and Plat Routing a plus
  • Ability to organize and prioritize daily work, including tracking and managing competing and changing priorities.
  • Working knowledge of Microsoft Word, Excel, and Outlook required.
  • Working knowledge of Adobe Acrobat Pro / Bluebeam .PDF editors a plus
  • Experience with Deltek Vision software a plus, not required.
