Description

Security Receptionist (Part-Time) - 20 hours per week

Position Summary: The Security Receptionist will provide administrative, operational, and security support. This position is managed by Inter-Con Security and reports to the Reception Manager.

Responsibilities:

Administrative/operational duties include:
  • Serving as the first point of contact for telephone calls and office visitors (guests, vendors) in accordance with foundation policies and procedures. This includes greeting and badging visitors, answering general inquires, and routing specific queries to the correct point of contact.
  • Providing administrative and operational support to staff as needed
  • Act as a First Aid responder and Fire/Evacuation warden and maintain required trainings/certifications.
  • Assisting visiting colleagues with general queries about the office and local area.
Security responsibilities include:
  • Conducting security duties per Security Standard Operating Procedures in coordination with the Regional Security and Reception Manager.
  • Security Focal Point (SFP): May as a day-to-day touchpoint for security issues for the office in coordination with the Regional Security Manager. SFPs may be asked to serve as part of the local Incident Management Team and attend any required trainings.
  • Access Control: Performing access control-related duties, reporting lost staff badges to the GSOC & issuing temporary badges, issuing visitor badges to visitors for onsite Meetings or Events, and liaising with Building Security to ensure access, in accordance with building and foundation policies and procedures.
  • Communications: Reporting suspicious conversations/content associated with incoming office mail, emails, telephone calls, and visitors.
  • Security Systems/Equipment: Monitoring, maintaining, and reporting for maintenance any issues with/changes to security-related systems/equipment and operations.
  • Emergency/Security Incidents: Responding to emergency/security incidents - including trespass, fire, medical, bomb threats, etc. Making appropriate notifications/escalations and assisting with post-incident reporting, as necessary. Report prohibited and dangerous items.
  • Coordination with Facilities Team: Partner with Facilities colleagues, Events Team counterparts and the Senior Operations Manager to ensure seamless delivery of local Operations Team tasks, attend related daily and weekly meetings.
  • Performing other security duties at the Regional Security Manager's direction.
Qualifications:
  • High School graduate plus three years of experience or college degree.
  • Previous experience must include:
    • Working on a global scale in complex, unstructured situations.
    • Managing high-level internal and external relationships with trust and transparency.
    • Performing in fast-paced, multi-task work environments.
    • Coordinating/organizing both daily tasks and longer-term projects across an office.
    • Demonstrated writing and analytic skills; and
    • Proficiency in Microsoft Office applications, with a willingness to learn new software.
  • Preferred:
    • Prior experience with safety and security related responsibilities.
