Each and everyday girls and boys are left to find their own recreation and companionship. An increasing number of kids are at home with no adult care or supervision. Young people need to they have a place in their community where they can go. Clubs provide a safe haven for youth, allow them to meet with friends and be a part of positive peer groups. Club programs teach life skills, conflict resolution and focus on the development of character. Clubs also provide members with positive role models and a nurturing environment that help improve decision-making skills.
Job Summary
The Executive Administrative Assistant provides high-level administrative support to the CEO, CAO, and VP of Resource Development. This role involves a wide range of critical administrative tasks, ensuring smooth operations for executive leadership and board-level activities. The ideal candidate will be able to manage a dynamic and complex set of responsibilities with discretion, confidentiality, and a focus on efficiency.
Essential Functions
Work hours: Monday - Friday, 8:00AM to 4:00PM. Hours may vary based upon business needs; flexibility is required.

The ideal candidate will be able to manage a dynamic and complex set of responsibilities with discretion, confidentiality, and a focus on efficiency.
Essential Functions
- Schedules and organizes corporate activities such as executive meetings, travel, board meetings and conferences.
- Creates and develops visual presentations; stablishes, develops, maintains and updates filing system
- Maintain all Corporate Board, Board of Trustees, Area Advancement Board and related committee/task force rosters and calendars and proactively plans, manages and establishes all communication regarding above group of constituents.
- Coordinates the processing and onboarding documents, including criminal background checks required for Corporate Board Members and Area Advancement Board members, using the volunteer management system.
- Sorts and distributes mail for the admin offices. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
- Answers incoming line to Admin Offices and takes messages or fields/answers to all non-routine questions, routine inquiries. Works in cooperation with other Club admin staff to cover phones and greet visitors to administrative offices.
- Acts as office manager for administrative offices, coordinating all vendors, and communicating major changes to all staff at Fraim Admin.
- Collaborate with VP Recourse Development & Database Administrator to ensure thank you letters to donors are edited, signed and mailed in an accurate and timely fashion.
- Associate degree or equivalent years of experience is required, bachelor's degree preferred.
- Minimum five years of experience as an Executive Assistant, Administrative Assistant, Secretary or office manager or some combination.
- Business procedures and practices
- Relationship of organization and departmental policies, procedures and operations.
- Written and oral communication.
- PC usage, including Microsoft Office 360 and SharePoint environment (Word and Excel).
- Office equipment (computer, telephone, mail, printer/copier, scanner, fax, etc.).
