JOB SUMMARY

Reporting directly to the County Engineer, responsible for providing executive administrative support directly to the County Engineer and the Development Services and Drainage Division while using independent judgment.

EXAMPLES OF WORK PERFORMED

  • Serves as the County Engineer's liaison with local and state offices, elected officials, board members, department heads and the general public
  • Assists with receiving and responding to all phone calls, visitors, mail, e-mails, appointment requests and media inquiries for the County Engineer
  • Organizes, manages and maintains calendars and schedules for the County Engineer
  • Accompanies or represents the County Engineer at meetings and other events as needed
  • Takes detailed notes and minutes during meetings for the County Engineer
  • Provides direct customer service either in person, by email, in virtual meetings or on the telephone
  • Communicates regularly with the general public
  • Creates various reports and presentations for County Engineer and the Division
  • Proofreads and edits documents requiring signatures
  • Verifies accuracy and completeness of critical documents such as records, correspondence, regulations, etc.
  • Participates in long-range planning and develops plans and strategies to achieve Division, Department or County goals
  • Conducts research independently or under direction of the County Engineer
  • Plans and executes special projects and events
  • Prepares, reviews and submits items for the Commissioners Court agenda
  • Assists in the annual budget process by developing, collaborating with others and monitoring the budget
  • Assists with the preparation of performance evaluations for the Division
  • Assists the County Engineer or other supervisors with personnel management including hiring and corrective actions
  • Reconciles timesheets and assists with approving entered time for payroll
  • Assists other divisions within the Department of Infrastructure as needed
  • Attends all assigned meetings and trainings
  • Performs special duties as assigned

PHYSICAL DEMANDS
  • Position involves prolonged sitting at a workstation, visual examination of documents, reaching, walking, twisting, bending, standing and occasional lifting/carrying

  • Work is primarily indoors in an air-conditioned environment
  • Regular travel between work sites as required
IRREGULAR HOURS
  • Work outside of the normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be required

MINIMUM QUALIFICATIONS
  • Bachelor's degree and three (3) years of office management/administration experience including increasing responsibility in an executive support role; OR an equivalent combination of education and experience
  • Excellent written and verbal communication, attention to detail and organization skills
  • Working knowledge of Microsoft Office Suite, Adobe Acrobat and standard office computer systems and equipment
LICENSES AND CERTIFICATIONS

Required within thirty (30) days of employment
  • Valid Texas driver's license
PREFERRED QUALIFICATIONS
  • Master's degree in a related field
  • Knowledge of Commissioner Court proceedings
  • Knowledge of Public Information Act and Open Meetings Act
  • Local or state government experience
