We are seeking a highly organized and proactive Executive Assistant to support the General Manager at our California warehouse. The ideal candidate will play a key role in ensuring smooth day-to-day operations and providing administrative support to the General Manager. This is a fast-paced environment requiring an individual who can manage multiple tasks, coordinate communication, and assist with managing warehouse-related tasks efficiently.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the General Manager, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Warehouse Operations Support: Assist in overseeing daily operations of the warehouse, including tracking inventory levels, coordinating with suppliers, and monitoring shipping and receiving processes.
  • Communication Liaison: Serve as a key point of contact between the General Manager and internal departments, vendors, and clients, ensuring smooth communication and timely follow-ups.
  • Reporting & Documentation: Prepare reports, presentations, and other necessary documents. Assist in maintaining warehouse records, inventory reports, and operational logs.
  • Project Management: Support the General Manager in special projects, ensuring deadlines are met, and tasks are completed efficiently.
  • Meeting Coordination: Plan, organize, and take notes during warehouse team meetings, management reviews, and operational discussions.
  • HR Support: Assist with HR-related functions such as coordinating new employee onboarding, managing employee schedules, and tracking attendance.
  • Data Analysis: Assist in gathering and analyzing data related to warehouse productivity and efficiency for decision-making purposes.
  • Task Management: Help prioritize and manage the General Managers task list, ensuring that key deadlines are met.
