Responsibilities
•Manage information flow in a timely and accurate manner
•Manage team calendars and set up meetings
•Light bookkeeping
•Act as an office manager by keeping up with office supply inventory
•Format information for internal and external communication - memos, emails, presentations, reports
•Take minutes during meetings
•Screen and direct phone calls and distribute correspondence
•Organize and maintain the office filing system
•Document new and revised systems and help grow the Operations Manual
•Coordinating and filing documentation for Real Estate transactions
•Organizing and providing documentation for Agent Success
•Overseeing day to day needs of homes in our portfolio
•Creating interactive social media posts
•Organizing contacts in the customer relationship management program
•Implement marketing/client relation campaigns through customer relationship management programs
•Assisting in facilitating the sale of active listings
•Making periodic follow-up calls to clients and other agents
•Scheduling and coordinating showings for buyer's agents
•Deliver concierge-level customer service to sellers, buyers, and allied resources to maintain 5 Star ratings
•Schedule necessary appointments with all parties, including inspections and the final walkthrough
•Monitor deadlines and provide notices to appropriate parties when necessary
•Arrange all buyers' showings for listings and gather feedback regarding the showings
•Coordinate vendor estimates and schedule cleanings and repairs on homes getting ready to be listed
•Prepare and coordinate all marketing materials for new listings including brochures, mailers, online marketing, social media posts, etc. to continuously build our brand
•Help create and coordinate client and vendor appreciation events
•Provide additional support to the team as needed
•Any other miscellaneous tasks that will ensure the success of the team
•Potential to manage other team members as we grow
Qualifications
•Two years of real estate-related experience as an Executive Assistant, Director of Operations, Transaction Coordinator, Agent, or similar Real Estate related role
•Outstanding organizational and time management skills
•Familiarity with office technology and applications (e.g. e-calendars, printers, computers, scanners, etc.)
•Excellent verbal and written communication skills
•Discretion and confidentiality
•Thrives on providing excellent "5 Star" customer service with an above-and-beyond mindset
•Excellent computer skills (Google Workspace, Google Docs/Sheets/Slides, Zoom, Canva, MLS, Social Media, etc.)
•Learning based
