About the Job
This role will provide essential administrative and organizational support across multiple functions, including executive assistance, office management, HR coordination, and general office administration. This versatile role ensures that the office operates efficiently, supporting both day-to-day activities and strategic initiatives. The ideal candidate will thrive in a fast-paced environment, be highly organized, proactive, possess excellent communication and multitasking skills.

Key Responsibilities

Executive Assistance:

  • Be a backup to the executive assistant and help own the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Screen and prioritize incoming communications, including emails, phone calls, and mail.
  • Prepare and approve expense reports
  • Coordinate executive meetings onsite and any necessary travel coordination
  • Handle executive expense reports
  • Handle confidential and sensitive information with discretion.
  • Coordinate travel arrangements for executives and recruiting candidates
  • Manage internal travel platform and out-of-policy travel requests
  • Assist with various executive-level tasks to ensure smooth operation of the leadership team.
Office Management:
  • Oversee the day-to-day operations of the office, ensuring a productive and welcoming work environment.
  • Maintain office supplies and equipment and liaise with vendors for procurement and service needs.
  • Stock the kitchen snacks and order weekly lunches for the office.
  • Draft and send office/company announcements
  • Coordinate office events, meetings, and team-building activities.
  • Assist with holiday planning and decorating for the office
  • Assist with managing the office budget and expenses.
  • Order the weekly groceries and flowers for the office.
What you need to be successful:
  • 3+ Years of experience working in a corporate environment as a HR Coordinator, Administrative Assistant, Executive Assistant or similar role.
  • 1-2 Years of experience working with executive leadership in some capacity
  • Intermediate to Advanced proficiency in MS Office (Excel, Outlook, PowerPoint, Word)
  • Strong problem-solving skills and the ability to think critically and independently.
  • Self-starter with a proactive approach to work and the ability to work under pressure.
  • High attention to detail and a commitment to providing quality service.
  • Ability to work independently as well as part of a collaborative team.
  • Prior experience in a fast-paced or dynamic work environment.
