Hours: 9:00 AM - 5:00 PM, Monday - Friday
Position Type: Temporary-to-Permanent for the right candidate
Dress Code: Business Professional
Pay Rate: $20/hour (non-negotiable)
Job Summary: We are seeking a highly organized and detail-oriented Administrative Assistant to support our international recruitment and immigration teams. This fast-paced role requires a proactive individual who can prioritize tasks, adapt to changing priorities, and work independently.
Responsibilities:
- Provide administrative support to leadership and staff, including calendar management and project oversight.
- Greet visitors and assist with inquiries.
- Answer and route incoming calls, take messages, and retrieve voicemails.
- Manage incoming and outgoing mail, including package deliveries.
- Coordinate meetings, including scheduling, room reservations, and catering.
- Prepare meeting materials, such as agendas and presentations, ensuring accuracy and timely distribution.
- Compose and edit correspondence, including letters, memos, and emails.
- Maintain accurate filing systems, both physical and digital.
- Coordinate travel arrangements, including booking flights, accommodations, and ground transportation.
- Process expense reports and track vendor payments.
- Assist with contract management and HR-related tasks as needed.
Qualifications:
- 3+ years of administrative or secretarial experience.
- Associate's degree in business administration or related field preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- Flexibility to adapt to changing priorities and deadlines
