Administrative Assistant (Mobility Services) 

We are seeking a highly organized and proactive Administrative Assistant to support the Vice President of Transportation Planning in managing day-to-day operations of paratransit services. The ideal candidate will be a skilled communicator and detail-oriented professional who excels in administrative coordination and thrives in a dynamic transportation environment. This role involves assisting with scheduling, project documentation, meeting preparation, and other tasks to ensure seamless operations within the department.

Primary Duties and Responsibilities  

  • Document Preparation: Draft, edit, and format reports, presentations, correspondence, and other documents related to paratransit services. 

  • Data Management: Maintain accurate records and data for projects, including schedules, budgets, and progress updates. Assist in compiling and analyzing data for reports. 

  • Meeting Coordination: Organize and facilitate meetings, including preparing agendas, distributing materials, taking minutes, and following up on action items. 

  • Project Assistance: Support the VP in tracking project milestones, deliverables, and deadlines. Help coordinate project-related activities and communications with internal teams and external partners. 

  • Communication Liaison: Serve as a point of contact between the VP and internal/external stakeholders. Ensure timely follow-ups and information sharing. 

  • File Management: Develop and maintain organized filing systems for physical and electronic records related to transportation planning and paratransit operations. 

  • Budget and Expense Tracking: Assist in monitoring budgets, processing expense reports, and reconciling accounts as needed. 

  • Operational Support: Provide administrative assistance for operational initiatives, including compiling reports, developing operational workflows, and assisting in problem resolution. 

  • Event Coordination: Assist in planning and coordinating department events, workshops, and training sessions. 

Qualifications & Skills  

  • Education: Associate degree in Business Administration, Transportation, or a related field preferred; equivalent work experience considered. 

  • Experience: Minimum of 1 year of administrative support experience, preferably within transportation, paratransit, or a related industry. 

  • Strong organizational and time-management skills. 

  • Excellent written and verbal communication abilities. 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with data management software. 

  • Ability to handle sensitive and confidential information with discretion. 

  • Attention to detail and ability to manage multiple tasks and projects simultaneously. 

  • Positive attitude, with a proactive and adaptable approach to tasks. 

  • Previous experience in customer service, public transit or paratransit. 

  • Familiarity with scheduling software or transportation management systems

Salary  

  • $45,000 per year 

  • Paid biweekly. 

Proposed Hours + Travel  

  • On-site; Full-Time 

  • Monday – Friday – 9:00 a.m. - 5:00 p.m. 

  • Multiple Locations: MARTA Mobility – 1040 Brady Avenue, Atlanta, GA 30318; Vectour Group HQ – 241 Peachtree Street, Atlanta, GA 30303
