PDR is seeking a full-time Client & Administrative Support Specialist. We need an energetic individual who is highly detail oriented, sensitive to important deadlines, accustomed to working in a goal-oriented environment, and able to work as part of a team and independently. The ideal candidate must be professional, highly flexible, reliable, and must exhibit a high degree of accuracy and quality in the tasks assigned. Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint and the tenacity to master additional software programs is essential.


Primary Responsibilities:

The Administrative Support Specialist is responsible for handling all the administrative duties of the firm, including supporting the firm and accounting staff, enabling the accounting staff to be more effective to clients by performing the following duties.

• Annual tax season preparation including processing client organizers

• Process various tax forms including New Clients, Power of Attorneys and Sub S Elections

• Assembles tax returns that need to be either mailed to clients or governmental agencies

• Distributes tax returns to client through secure email

• Runs various reports during tax season and analyzes those reports to ensure all data is accurate and up to date

• Process and electronically file all tax returns

• Answers incoming calls, calling clients to expedite work, calling clients to pick up returns and collecting fees

• Responds to various inquiries, both internal and external, and manages communications via e-mail, phone calls, etc.

• Composes correspondence or other writing duties as requested

• Processes outgoing mail, including taking certified mailings to the post office

• Assists shareholders as necessary

• 2+ years of prior administrative experience

• Excellent verbal and written communication skills

• Strong attention to detail, and a commitment to quality

• Proven ability to take initiative and responsibility for completing work within a team environment

• Ability to juggle many projects simultaneously

• Intermediate knowledge of the Microsoft Office Suite

• Prior CPA firm experience is a plus

Hiring Profile:

• Prior professional office administrative assistant experience highly desired

• Must be highly proficient with MS Office Suite

• Capable of maintaining focus and precise attention to detail while seamlessly multi-tasking

• Ability to work with confidential materials and maintain the highest level of discretion

• Ability to follow directions, ask questions, and be open to change and willing to learn

• Effective interpersonal and communication skills and the ability to interface with personnel at all levels, both verbally and in writing
