Principal Function:

The Administrative Assistant will support the daily operations of the PCBC Day School and managing childcare needs for the weekly Ladies Bible Study, Mothers of Preschoolers, and Special Events. This position is responsible for understanding all program standards including those of Park Cities Baptist Church, and the Texas Department of Family and Protective and Regulatory Services as it relates to a licensed program. The Administrative Assistant will work under the general supervision of the Day School Director with some demand for independent judgment and action.

ROLES AND RESPONSIBILITIES

  • Process and maintain accurate new student enrollment records.
  • Maintain records of current students and alumni.
  • Manage billing records through Brightwheel, Childcare Management Software.
  • Process billing invoices, reimbursements and reconcile department credit cards through Nexonia Expense Management Tool.
  • Have a good understanding of Touchpoint, the Church Database Management Tool and Mazevo Scheduling Tool.
  • Maintain accurate attendance sheets for all Weekday Ministries.
  • Procure childcare staffing needs through external agencies such as Child Care Careers or Child Care Resources Staffing, as needed.
  • Obtain a CPR certification and first aid training every two years.
  • Document the occurrence of accidents/incidents and notify the Day School Director immediately.
  • Assist parents with consistent and timely addressing parents’ concerns, answering questions and requests.
  • Ensure office supplies and resources are available, neat, and ready for daily use.
  • Demonstrate enthusiasm and show pleasure in working with and caring for young children.
  • Show respect to and relate positively towards children and adults.
  • Maintain and organize the Day School office space neatly in preparation for routine School tours.
  • Be available to be a Floater in classrooms, as needed.
  • Other duties as assigned by the Director.


EDUCATION AND EXPERIENCE

  • Associate’s or Bachelor’s Degree in Business or a related field a plus.
  • 4-5 years of minimum experience in an Administrative type of role.
  • Proficient in the Microsoft Suite (Word, Excel, PowerPoint, Outlook, OneDrive, Teams).
  • Excellent organizational skills with the ability to multi-task.
  • Sound written and oral communication skills with the ability to engage in a professional, hospitable, and courteous manner.
  • Self-starter and the ability to perform tasks independently and assume ownership in the role.
  • Strong work ethic with team attitude.
