We are looking to employ a highly organized and responsible Administrative Assistant to join our growing team. In this position, this individual will perform clerical tasks, answer phones, process rent payments, submit work orders, answer tenant questions and provide general assistance, assist visitors, and sort mail. The person in this position will provide general support to our leasing teams and managers by preparing documents, organizing files, and keeping the office organized and tidy.

DUTIES & RESPONSIBILITIES

Overview of responsibilities:

  • Welcome and direct all tenants, clients, vendors, and visitors
  • Oversees room scheduling, vehicle rentals, supervising parking lots and permits, maintains inventory for supplies, files invoices, manages uniforms and merchandise
  • Assists Executive Team on projects, calendar management and sends companywide emails regarding necessary information, etc.
  • Work at multiple locations including The Press (shared workspace) and the main office front desk
  • Assist with daily filing and run regular reports
  • Maintain cleanliness of lobby and other common areas
  • Sort outgoing and incoming mail/packages
  • Direct all phone calls using a multi-line phone system
  • Provide assistance to current tenants
  • Accept and process fees and payments
  • Represent the company in a professional manner at all times

Education and Experience:

Experience working in property management or leasing is preferred.

  • Proficiency in Microsoft Office (1 year experience required)
  • Proficiency in Google G-Suite preferred
  • One year of experience as an administrative/office assistant preferred
  • Excellent customer service skills.
  • Strong understanding of business operations
  • High school diploma or GED

Positions in this class typically require: reaching, standing, walking, grasping, feeling, talking, hearing, seeing and repetitive motions.

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Compensation: $31,200 - $49,000 annually (based on qualifications).
