Job Summary

We are seeking an organized and proactive Administrative Assistant to join TIMSCO International. When guests arrive at the office, you will greet them and determine the reason for their visit. You will support our staff with clerical duties, including answering phones, making copies, and organizing files. When necessary, you will also input information into our database to ensure our electronic files are updated. We prefer candidates who have some administrative support experience, but we are willing to train the right person.

General Duties & Tasks

  • Provides administrative support to ensure efficient operation of office.
  • Answers phone calls, schedules meetings and supports visitors.
  • Maintain security awareness and monitor people coming and going through reception
  • Report suspicious activity
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Supports team by performing tasks related to organization and strong communication.
  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  • Provides information by answering questions and requests.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Prepare a daily report
  • Organize catering for meetings or special events
  • Contributes to team effort by accomplishing related results as needed.
  • Complete special projects as assigned

Requirements & Qualifications

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.
  • Must be able to pass drug screening and motor vehicle report
