Job Description
We are seeking a proactive and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. You will support managers and employees through a variety of tasks related to organization and communication. The admin job description will include working closely with our leadership team and employees, acting as the first point of contact for the organization, and assisting in daily office needs.
Key Responsibilities:
Managing Phone and Vonage System:
- Answer and direct incoming phone calls professionally.
- Manage the Vonage phone system, ensuring proper setup and functionality.
Office Supplies Inventory Management:
- Monitor and replenish office supplies, including paper, coffee, toner, and other essentials.
- Maintain accurate inventory levels and place orders when necessary.
Printers: Maintenance and Servicing:
- Oversee regular maintenance and servicing of office printers.
- Troubleshoot any printer issues and coordinate repairs or servicing as needed.
Paper Shredding Coordination:
- Arrange secure disposal of sensitive documents with a paper shredding service provider.
- Ensure shredding complies with data protection and confidentiality regulations.
Supporting Company Lunches/Events:
- Assist with organizing and coordinating company lunches and events.
- Handle catering arrangements, setup, and cleanup.
General Administrative Support:
- Assist with other administrative tasks such as light purchasing and filling out required industry and company forms.
Qualifications:
- Proven experience as an administrative assistant or office admin assistant.
- Knowledge of office management systems and procedures.
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- High School diploma; additional qualification as an Administrative assistant or Secretary will be a plus.
