COUNTY OF WARREN
PARALEGAL / LEGAL ASSISTANT
GENERAL DEFINITION OF WORK:FLSA Status: Non-Exempt
Performs complex administrative work assisting with legal research and administrative procedures; does related work as required. Work is performed under the supervision of the Office Manager.
ESSENTIAL FUNCTIONS/TYPICAL TASKS:
Providing support to department staff; conducting research, compiling information; preparing draft pleadings, opinions, ordinances and resolutions; preparing and maintaining files and records.

KNOWLEDGE, SKILLS AND ABILITIES:
Thorough knowledge of legal office practices, procedures and techniques; thorough knowledge of legal terminology and spelling; thorough knowledge of departmental functions, organization and policies; general knowledge of the principles, methods and practices utilized in legal research; some knowledge of municipal law; ability to maintain involved office and legal records; ability to organize and perform work independently; ability to take and transcribe dictation and type at proficient levels; ability to communicate ideas effectively in both oral and written forms; ability to establish and maintain effective working relationships with associates and the general public.
EDUCATION AND EXPERIENCE:
Any combination of education and experience equivalent to graduation from high school supplemented by course work in secretarial science, paralegal training, or related field and moderate experience in a legal office as an assistant, paralegal or legal secretary.
PHYSICAL REQUIREMENTS:
This is sedentary work requiring the exertion of up to 25 pounds of force occasionally, and a negligible amount of force frequently or constantly to move objects; work requires fingering, grasping, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.
SPECIAL REQUIREMENTS:
Possession of an appropriate driver's license valid in the Commonwealth of Virginia. Obtain VCIN Certification within 6 months and Security Awareness Certification through VCIN.

- Provides technical and administrative support to departmental staff; transcribes and drafts letters, memos, agenda items, ordinances, resolutions, contracts, leases, court pleadings, court forms, loan documents, real estate instruments, etc. from descriptions and/or drafts of information to be contained within the document.
- Assists and directs citizens with information requests either in person or via telephone calls and e-mail; responds to Freedom of Information Act requests.
- Prepares legal documents and correspondence, provides litigation and trial support; maintains court calendars; prepares and reviews court dockets.
- Monitors Juvenile and Domestic Relations Court files, maintains confidentiality of juvenile files and information obtained through the courts, juvenile intake etc.
- Performs basic legal research as required; ensures recording and filing of legal documents; schedules appointments.
- Work closely with Juvenile Intake and Probation; Juvenile and Domestic Relations General District Court and Law Enforcement.
- Obtain video footage, reports from law enforcement and download technology for discovery and prepare discovery.
- Input all Adult and Juvenile case file information into a Records Management System.
- Performs general office management duties including answering phones, processing incoming and outgoing mail, preparing deposits, ordering supplies, and preparing invoices; maintains office equipment, schedules repairs, conducts cost analysis for replacements.
- Establishes and maintains general office procedures; sets up and maintains filing system, document retention program, etc.
- Performs related tasks as required.
