Position Summary
Responsible for assisting the Director with the overall administration of aid programs and management of the Financial Aid Office staff. Works closely with the Director to identify and prioritize functions that need to be improved within the processing, service and reporting areas of financial aid. The individual in this position makes supervisory decisions and represents the department in the absence of the Director
Duties & Responsibilities
  • Assists the Director with the day-to-day operational activities required to administer and manage the state and federal grant, loan, and scholarship programs. Expected to identify problems and contribute to the development and implementation of solutions.
  • Works in conjunction with the Director to oversee the supervision of office personnel including student employees and works to promulgate efficient office workflow by delegating work assignments to accomplish office objectives.
  • Charged with maintaining a thorough knowledge of Title IV and state aid assistance programs and must stay up-to-date with rules and regulations to ensure compliance requirements are met.
  • Responsible for maintaining a thorough knowledge of College policies that relate to the administration of financial aid, such as, but not limited to: admissions, enrollment objectives, academic credit requirements, academic suspension/probation, withdrawal, and refund policies.
  • Assists the Director with monitoring and reconciling the federal and state grants, work- study, and internal and external scholarship funds on a monthly and quarterly basis and provides status reports to the Director.
  • Works collaboratively with the College's Banner Administrator and IT personnel on installation timing of all Ellucian Banner Financial Aid updates and coordinates testing prior to running processes in production mode.
  • Responsible for administering the annual Banner financial aid setup, and works with College's Banner Administrator on rules and proposals used in processing financial aid. Identifies Banner issues related to financial aid processing, reporting systems, Banner generated communication, budget, packaging/awarding and disbursement of aid funds. Submits tickets to Ellucian's support when required.
  • Responsible for supervising the Banner processes related to uploading FAFSA (data load) and running end of term Satisfactory Academic Progress process and delegating the work needed to determine continued aid eligibility and communication to students.
  • Create and monitor system queries to assist with the day-to-day operation of the office, federal, state and institutional aid processing.
  • Participates in the collection, management and reporting of data in accordance with the objectives of the position; participates in the development and implementation of data management systems and procedures, as appropriate.
  • Assists the Director in preparing annual FISAP report for the U.S. Department of Education and the DEAR report for the NM Higher Education Department.
  • Works closely with the Director to meet A133 audit requirements and requests from external auditing agencies.
  • Serves as liaison with campus departments, outside agencies, and stakeholders who have interest with the Financial Aid Office or the College.
  • Expected to provide a lead role in advisement to students and their families regarding available financial aid opportunities, eligibility requirements, and application processes.
  • Reviews and assesses eligibility of applications for financial aid by completing file verification involving the review of financial statements, tax return information and other relevant documentation as required by Title IV regulations; packages and awards aid using BANNER software.
  • Expected to deal with and resolve complex financial aid issues Reviews student academic progress to determine continued eligibility for state, federal and individual aid programs and communicates with students when eligibility is lost. Responds to inquires and researches and resolves problems related to transactions handled by the unit and serves as a liaison with other constituents in the resolution of day- to-day administrative and operational issues.
  • Participates in Financial Aid workshops and/or presentations for current and prospective students on campus and at surrounding schools and communities in Northern's service area. Perform other duties as assigned.
  • Minimum Requirements
  • Bachelor's Degree
  • 4 years of progressive work experience in a college financial aid office
  • Knowledge of Title IV financial aid regulations.
  • Must be proficient in using Excel
  • Experience working with Ellucian Banner Financial Aid Module or similar systems such as Ellucian Colleague
Preferred Qualifications
  • Experience with Ellucian Banner Financial Aid Module annual setup
  • Experience using Department of Education systems such as Common Originations and Disbursements (COD) Ed Connect, National Student Loan Data System (NSLDS), and other similar systems.
  • Supervisory experience

  • Repetitive hand motions and prolonged use of computer;
  • Requires handling of average-weight objects up 40 pounds
  • Sitting for extended periods of time.


Work Environment

Work is normally performed in a typical office environment. Occasional travel to conduct outreach activity. Must be able to work nights and weekends as required due to business needs.
